Position Summary
Reporting to the Associate Provosts for Academic Appointments, the Associate Director assumes overall responsibility for approving Morningside and CUIMC academic appointment forms for entry into PeopleSoft and ensuring that all academic personnel throughout the University are issued accurate appointment letters in a timely fashion. The Associate Director advises schools and departments on University policies for appointing academic personnel and ensuring the quality of data in PeopleSoft. The incumbent will engage in special academic appointment projects, as needed.
Responsibilities
- Authorize academic personnel forms and transactions for assigned Morningside and CUIMC departments for transmittal to the University Human Resources Processing Center (HRPC) for entry into PeopleSoft; provide guidance to schools and departments to enforce the University’s academic appointment policies.; Advise schools and departments on academic ranks and salaries as they establish new appointments or consider appointment changes.
- Oversee the preparation of academic appointment letters for assigned Morningside and CUIMC schools and departments, ensuring their accuracy and timely production.
- Partner with the HRPC and/or schools and departments to resolve issues and develop procedures to ensure data integrity for submitted appointments.
- Collaborate with the Associate Provosts on special projects related to the development of new or revised policies relating to academic personnel; research and compile data required for external and internal reports and analyses.
- Perform related duties as assigned.
Minimum Qualifications
Bachelor’s degree required. A minimum of 4-6 years of related experience is required.
Experience in an institution of higher education, preferably in an executive office. Working knowledge of academic appointments and PeopleSoft is required. Familiarity with word processing, spreadsheet software, and database management software, preferably ACCESS. Excellent organizational skills as well as excellent oral and written communication skills. Great attention to detail and accuracy are absolutely necessary. Must be able to proofread accurately. Ability to work independently and handle multiple time-sensitive tasks under short deadlines. Ability to handle confidential information with great discretion. Ability to work with staff at all levels of the University.
