JOB SCOPE

 

Job Responsibilities

  • Provide administrative and clerical support to Admin Team and Security Branches including meetings scheduling, travel arrangement, Accrual, Financial Reports and TM expenses.
  • Perform administrative functions within the department, make discretionary decisions and interface with other departments across the property
  • Provide support in purchase requests, follow through and ensure receiving and invoicing are performed on time and attend to vendors’ queries or issues from time to time
  • Provide support and manage team building, special events, relevant permit, license, subscription, membership and dues subscription/application and/or renewal
  • Coordinate and arrange meetings, prepare agendas, reserve facilities and record and transcribe minutes of meetings (if necessary)
  • Provide support in P&L, budget, forecast, accrual, and operating expenses
  • Manage and maintain office supplies, machinery, pantry, administer courier and postal services (if necessary)
  • Utilize with competency property systems and portals such as but not limited to Ariba, Concur, FCm Portal (OBT), MyHR Learning/Services, Prosoft, ServiceNow, Time Manager, Virtual Roster.
  • Input and update department’s virtual roster, leave records and org chart
  • Manage HR matters for the team eg. Onboarding/Accessibility on property/systems/ePAF etc
  • Cover Administration Manager when she is on leave and provide support on all manner of duties, when called upon
  • Perform other related duties as assigned by the Vice President, Security Service Department

 

JOB REQUIREMENTS

Experience

  • Previous working experience in corporate and administrative support for Administrator / Senior Administrator

 

Competencies

  • Competent in Outlook and Microsoft Office program (Word, Excel, PowerPoint)
  • Proficient in spoken and written English 
  • A team player who is willing to support all teams
  • Able to work independently, meticulous and detail-oriented
