About The Opportunity
Scott Dunn Private is the ultra-personalized solution within the wider Scott Dunn group. Offering one to one relationship management backed by the tools and resources of the global Scott Dunn team. It delivers a lifelong relationship as the trusted choice by our members for their ultra-luxury, leisure travel.
Each private travel manager is responsible for a designated book of members and is responsible for keeping members engaged in their membership through regular, personalized contact and will service all of their travel needs (where they have the knowledge) or work with the global Scott Dunn Private Travel team to fulfil the booking.
The purpose of the Assistant role is to support the Scott Dunn Private Team Members in servicing the members, whether that is member facing or behind the scenes. Once the trip is booked, the Assistant will support in offering the highest level of personalization through concierge, quality checks and arranging surprise and delight moments.
Retention of our members is key, as well as giving new members an unforgettable differentiated experience first time. Through meticulous attention to detail, accuracy as well as designing creative extras tailored to the member’s personal profile with our collective knowledge of access and experiences in all destinations, the Assistant will support in industry leading levels of membership satisfaction.
Key Responsibilities
- Support the Relationship Manager by handling operational tasks to ensure smooth, accurate, and high-quality service.
- Provide seamless, flexible, and discreet service that enhances the luxury travel experience.
- Follow operational processes and promote best practices across the team.
- Double-check details and eliminate errors to ensure flawless delivery.
- Enhance bookings by arranging restaurants, tours, spa treatments, shows, and more for Scott Dunn Private members.
- Anticipate client needs and exceed expectations with proactive, thoughtful service.
- Coordinate with hotel concierge and Relationship Manager to ensure every detail is managed.
- Plan thoughtful "surprise and delight" moments to elevate the travel experience.
- Learn and use internal systems and tools confidently and efficiently.
- Manage post-booking tasks and ensure all travel documents are prepared on time.
- Collaborate with the product team and suppliers to offer exclusive experiences.
- Help source and send gifts to members as needed.
- Keep concierge product knowledge up to date to provide tailored recommendations.
- Represent Scott Dunn Private’s values in all interactions and services.
- Ensure local partners are well-prepared to welcome and impress members.
- Track and update members’ preferences in the company’s systems for future bookings.
- Follow up to ensure timely balance payments from members.
- Attend supplier meetings, training sessions, and occasionally travel to destinations for first-hand experience.
- Stay informed on UHNW (ultra-high-net-worth) client trends and interests.
- Take on additional responsibilities as needed by the management team.
Experience & Qualifications
- Experience in sales support within a luxury or travel brand, or in an administrative role serving ultra-high-net-worth (UHNW) clients.
- Strong understanding of luxury service and ultra-high-net worth (UHNW) client expectations.
- Excellent organizational skills and ability to manage multiple tasks and deadlines.
- High attention to detail and a proven track record of accuracy.
- Proactive, self-motivated, and positive approach to work.
- Able to manage timelines and support Relationship Managers in meeting their deadlines.
- Demonstrated ability to exceed client expectations and deliver exceptional service.
- Creative mindset with experience in crafting thoughtful, personalized experiences.
- Comfortable working under pressure, including occasional out-of-hours support.
- Passion for luxury travel and high-end experiences.
- Flexible working across time zones when needed.
- Prior experience with ultra-high-net-worth (UHNW) clients is a plus.
