About the Role
The Workplace Experience Officer provides a high standard of customer experience, supporting our people, visitors and guests with a broad range of business services and general office needs, across all icare corporate locations - we are based in Sydney’s CBD, Parramatta, Gosford, Newcastle and Wollongong.
The Workplace Experience Officer undertakes operational and administrative workplace activities including but not limited to regional office services, Reception and Concierge services, mail room management, security and building access control, visitor registration, meeting room management and general office support.
Snapshot of your day
- Welcoming visitor and support front of house
- Set up meeting rooms and ensure the office is ready for the day
- Assist staff and visitor with day-to-day workplace request and enquires
- Manage desk and locker bookings and help resolve booking issues
- Coordinate mail, deliveries and courier requests
- Reset and prepare rooms between meetings
- Conduct regular floor walks to keep spaces clean, stocked and functional
- Support small events, meetings and occasional VIP visits
- Troubleshoot issues on the spot and escalate where needed
- Work closely across reception, mailroom and workplace operations
- Assisting with administration with Workplace and Facilities duties as directed.
- Managing incoming workplace requests through ticketing system

Duties
It’s an exciting time at icare where no two days are the same; in this role, you will:
- Provide a high-level front of house experience across reception and workplace services
- Welcome and manage visitors, ensuring security protocols are followed. Including managing the Visitor sign-in system and associated protocols.
- Support day-to-day workplace operations including meeting rooms, desk bookings, office and kitchen setup
- Manag incoming workplace requests through ticketing system (ServiceNow) and ensure timely resolution
- Coordinate mailroom operations, including deliveries, couriers and internal distribution
- Conduction regular floor walks to maintain office presentation, stock level and functionality
- Set up and reset meeting rooms and event spaces as required
- Support internal events, meetings and occasional VIP visits
- Provide administrative and operational support, including shared mailbox management, room bookings, event coordination, and support for office meetings and wellbeing initiatives.
- Support staff in accessing and using the physical workplace, including managing security passes and audits, conducting new starters site induction, liaising with building management and concierge services, coordinating overflow bookings, and monitoring desk and meeting room utilisation as administrator of the desk booking system.
Skills & Experience
- Proven experience in a customer service environment ideally having worked in hospitality, corporate reception, shared serviced offices, facility or a concierge environment would be advantage.
- A range of experience in providing office support services in a busy office environment.
- Capacity to complete manual tasks and spend prolonged periods of time standing and walking
- Strong written and verbal communication and stakeholder management skills.
- Experienced in Microsoft Office Suite including Teams.
- Excellent administrative, planning and coordination capabilities.
- Self-driven, adaptable team player who enjoys working in a fast-paced environment.
- A valid NSW Driver’s License and the willingness to drive/travel between office locations.
