Job Description

The Administrative Support Specialist will manage workflow for the Privacy and Research Data Protection Program (PRDP) and, working in conjunction with a full-time program coordinator, will provide supplemental administrative support to the Research Integrity and Consultation Program (RICP). Responsibilities include managing the unit’s general email inbox, coordinating meetings and scheduling trainings on behalf of others, and performing other administrative responsibilities while exercising independent judgment to ensure that the day-to-day administrative functions of PRDP (and RICP as needed) are addressed in an appropriate and timely manner.

Other administrative responsibilities include, but are not limited to, responding to questions from researchers, managing training completion records, maintaining intricate calendars, and corresponding with students, faculty, and staff. The Administrative Support Specialist will provide high-level administrative support to team members and programs by projecting a positive image to the university community, guests, and government organizations. The incumbent will be responsible for performing general office duties and special projects; coordinating communications; and other administrative duties in support of programmatic needs.

The ideal candidate is highly self-motivated, professional, and capable of managing their workload in a fast-paced environment both independently and working with a team, as well as displaying discretion in sensitive and confidential activities.

Deeply committed to both the highest ethical standards in scholarship, and to the proactive advancement of basic, translational, and transformative scientific advancement for the improvement of the human condition and world, Virginia Tech’s division of Scholarly Integrity and Research Compliance facilitates scholarly excellence by ensuring research regulatory compliance and facilitating ethical decision-making. Six teams ensure various areas of research integrity, including protection of privacy and research data, protection of human participants and animal subjects, environmental and personnel safety of laboratory research, and mitigation of research conflicts of interest. Virginia Tech’s Privacy and Research Data Protection Program conducts critical tasks within the SIRC, which is led by the Senior Associate Vice President and reports to the Senior Vice President for Research and Innovation.

Required Qualifications

- Demonstrated program or administrative support experience in a professional environment
- Advanced computer skills with word processing, spreadsheets, and presentation
software
- Strong organizational, project management, and problem-solving skills with impeccable multitasking abilities
- Exceptional interpersonal skills and strong customer-service orientation
- Friendly and professional demeanor with strong communication skills
- Demonstrated commitment to diversity
- Proficiency in collaboration and demonstrated ability to receive directions and work
independently as needed
- Demonstrated ability to maintain confidentiality and use judgment and discretion where necessary

Preferred Qualifications

- Demonstrated writing, proofreading, and editing skills and experience
- Experience using database management programs
