Job Description
The Instructional Manager, with emphasis on Phase 3, leads the execution and coordination of academic operations for the post-clerkship phase of the Virginia Tech Carilion School of Medicine (VTCSOM) undergraduate medical education program.
Phase 3 represents the final stage of medical school, focused on advanced clinical experiences, electives, and preparation for the transition to residency. This role ensures the effective delivery of these experiences by managing scheduling systems, coordinating courses and events, supporting faculty and students, and maintaining the operational infrastructure that underpins student progression.
The Manager serves as the central operational lead for Phase 3, exercising independent judgment to oversee processes related to electives, assessments, learning systems, and student support. This position reports to the Phase 3 Director and the Senior Director of Educational Affairs, and collaborates closely with Phase 2 leadership, other educational leaders, and support personnel, coordinators, elective directors, and curriculum governance committees to ensure continuity across phases and a high-quality learner experience. This position requires strong organizational skills, the ability to manage multiple priorities and time-sensitive responsibilities, close attention to detail, and advanced communication and teamwork skills.
Required Qualifications
Bachelor’s degree in education, healthcare administration, or a related field, or equivalent combination of education and experience.
Experience working in an office or a diverse academic environment
Experience and/or certification in common office software, such as Microsoft Office (Outlook, Excel, Word), Adobe Acrobat, Zoom, and Google Workspace.
Preferred Qualifications
Experience working in a medical or medical education environment
Experience and competency in common educational software systems such as Canvas, One45, Elements, Teams, and HokieMart/Emburse
Familiarity with accessibility best practices for Word and PDF instructional materials
Experience with basic A/V troubleshooting (projector, laptop/computer, etc.) and experience with supporting multi-room sessions.
