Job Description

Under the supervision of the Director of the IT Project Management Office (PMO), the Project and Portfolio Coordinator supports the planning, execution, reporting, and governance of technology projects across the Division of Information Technology. This position works closely with project managers, project sponsors, IT leaders, and business stakeholders to maintain project information, support portfolio reporting, track project milestones, coordinate governance activities, and assist with project communications and documentation.

In addition to supporting PMO operations and portfolio management activities, the Project Coordinator may serve as the coordinator or lead for smaller operational and specialized projects. Working under the guidance of senior project managers, IT leaders, and the PMO Director, the position will assist with project planning, stakeholder coordination, schedule management, risk identification, status reporting, and project execution activities. This responsibility provides an opportunity to develop practical project management experience while contributing to successful project delivery.

Required Qualifications

• Bachelor's degree or a combination of education, training, and experience that equates to a Bachelor's degree.
• Experience organizing, tracking, or coordinating information, activities, schedules, deadlines, budgets, projects, events, or similar work.
• Experience preparing, editing, formatting, or maintaining professional documents, reports, presentations, or communications.
• Experience coordinating meetings, maintaining records, supporting teams, or providing administrative, operational, or customer-focused support.
• Demonstrated attention to detail and strong organizational skills.
• Ability to learn and effectively use business, project management, or organizational systems and processes.
• Strong written and verbal communication skills.
• Demonstrated ability to manage multiple priorities, meet deadlines, and adapt to changing needs.
• Working knowledge of Microsoft Office applications, including Excel, PowerPoint, Word, and Teams.

Preferred Qualifications

• Experience supporting technology projects within a higher education, public sector, or similarly complex organization.
• Experience developing reports, presentations, or dashboards for leadership and stakeholders.
• Familiarity with project portfolio management, project intake, governance, or prioritization processes.
• Experience using ServiceNow and Microsoft Teams.
• Familiarity with Power BI or Power Automate.
