Job Description
The Office of the Vice Provost for Faculty Affairs is seeking a proactive, detail-oriented, and service-oriented Receptionist to serve as the first point of contact for Faculty Affairs and Academic Resource Management. Responsibilities of the position include greeting and assisting visitors, providing support to the executive assistant, and providing backup coverage for the main office telephone line. The Receptionist will also be responsible for managing and distributing incoming mail and deliveries, scheduling and maintaining conference rooms and the Faculty Affairs library, assisting with meeting and program planning, monitoring and ordering office supplies, and providing general administrative support.
The ideal candidate demonstrates the ability to interact professionally and respectfully with a variety of individuals while fostering a welcoming environment. This position should be proficient in using various software applications commonly used in higher education setting including, but not limited to, Microsoft Office suite of products (Word, Excel, PowerPoint), SharePoint, and Qualtrics. Strong communication, attention to detail and accuracy, exceptional customer service, and a commitment to providing high-quality administrative support are essential to success in this role.
Required Qualifications
Experience communicating professionally with individuals in person, by phone, or electronically
Experience providing customer service in a professional, educational, retail, hospitality, or similar environment
Knowledge of Microsoft Office applications (Exchange, Word, Excel, PowerPoint, SharePoint)
Experience working with a broad variety of stakeholders, including but not limited to students, staff, faculty, administrators, and members of the public
Demonstrated ability to maintain confidentiality and exercise sound judgment
Preferred Qualifications
Experience providing receptionist, front desk, or administrative support
Prior administrative experience in higher education
Experience coordinating meetings or events
Knowledge and familiarity with university policies and procedures
