Job Description
The Military Science Department (ROTC Army) recruits, trains and develops leadership skills in students as they prepare for service as U.S. Army Officers. The Administrative Coordinator assists with this mission by providing administrative office supervisory support to the department head, faculty, staff and students in the Military Science Department, including purchasing, budgeting, financial management, sponsored project administration, event coordination, facility scheduling, and other general administrative duties. This position works directly with Army ROTC active duty professors, federal civilian employees, and federal government contractors as the department’s primary university liaison to the College of Liberal Arts and Human Sciences staff, Registrar’s office, Bursar’s office, Financial Aid Office, and other Virginia Tech colleges and departments; to also include Facilities, Surplus Property, Fixed Assets, Central IT, Network Infrastructure & Services, Office of Sponsored Programs, Hokie Passport Office, Parking Services, Naval and Air Force ROTC departments, the Virginia Tech Foundation and the Virginia Tech Corps of Cadets. Additionally, the Administrative Coordinator provides backup and assistance to other staff members in the department, provides school support for in-person and web-based inquiries about the department, and schedules faculty and student meetings, as necessary
Required Qualifications
• Experience providing administrative support in a professional office environment
• Experience handling sensitive and confidential information and documents with discretion
• Proficient in Microsoft Office applications, including Word, Excel, and Outlook
• Experienced in understanding, interpreting, and applying policies and procedures in a professional setting
• Able to work independently with minimal supervision
• Effectively work and communicate with diverse groups of people
• Strong ability to prioritize responsibilities and manage multiple tasks simultaneously
• Self-motivated, responsible, and dependable professional
• Excellent communication, customer service, and interpersonal skills
Preferred Qualifications
• Experience in office management and/or supervisory roles
• Working knowledge of university policies and procedures
• Experience working in an academic environment and supporting students
• Knowledge of university forms
• Experience using the Virginia Tech Banner System
• Knowledge of the Family Educational Rights and Privacy Act (FERPA)
• Strong understanding of higher education administrative operations and student support services
