Title: Campus Life Event Staff

Position Purpose:

Reporting to the Coordinator of Campus Life Programming, Campus Life Event Staff serve as professional staff support for Campus Life and student club events. These events take place on the Bates campus at various locations. Most events will be held on Friday and Saturday nights, ending no later than 2AM. Weeknight events, while rare, are typically scheduled to end by 11PM. Campus Life Event Staff will be scheduled for events on an on-call, as needed basis.

Job Duties:

21+ Event Responsibilities

  • Arrive no later than 30 minutes prior to event start time, and check in with the on-site Campus Life staff member(s), student leaders (if applicable) and Taylor Made security.
  • Receive alcohol delivery from Catering, and return any leftover alcohol to the Den at the conclusion of the event.
  • Hold the liquor license at these events.
  • Ensure that students at these events are abiding by Maine and Bates College alcohol policies. 
  • Be present and sober for the entirety of the event while alcohol is being served.
  • Be prepared to present the liquor license to law enforcement and confirm that the alcohol on the license matches the alcohol at the event. 
  • Enforce event beginning and end time.
  • Clean up bar area and assist student leaders of event in identifying what needs to be cleaned in other areas.
  • Record event attendance. 
  • Work with Taylor Made Security who will also enforce alcohol policy and check IDs at all events serving alcohol. 

Non-Alcohol Event Responsibilities

  • If working a shift at the beginning of an event, arrive no later than 30 minutes prior to event start time.
  • Attend an all hands on deck meeting with all other personnel working the event. Dependent on the scale of this event, this could include: Facility Services staff, Bates Campus Safety staff, Taylor Made security personnel, Lewiston Police, Emergency Medical Technicians, Dining staff, student club or organization leaders, and other staff members as needed.
  • Be a point of contact for the above parties to troubleshoot logistical needs and emergencies in conjunction with lead Campus Life staff as they arise.
  • Engage with Taylor Made security personnel at the beginning of the event to introduce yourself and establish rapport.
  • Be the first point of contact for students at the event, greeting them in a friendly manner. Engage with students at the event to establish rapport and familiarity. 
  • Ensure empty boxes are disposed of properly and that whole pizzas are not taken early in the evening (if applicable).
  • Scan tickets with Bates Engage or Eventbrite Organizer app (if applicable).
  • Track event attendance at door. Event staff should be aware of space capacity for each event. 
  • At ticketed events, explicit attendance tracking is not required, as ticket scanning accomplishes this task.
  • Make Bates Campus Safety and Taylor Made security aware in-the-moment of potentially problematic behavior and/or safety concerns. This might include:
    • Students engaging in drinking, smoking, or drug use in the event space.
    • Students appearing to be unwell or unresponsive.
    • Students exhibiting destructive behaviors to themselves or others.
    • Students entering areas that are prohibited.
    • High concern areas in the venue not being monitored by security personnel.
  • Assist Bates Campus Safety and Taylor Made security personnel with clearing the venue at the end of the event.
  • Check in with the on-site Campus Life staff member(s) after students have cleared the event to receive final assignments (if any) and be dismissed for the evening.

Training Provided

  • TIPS training for safe and legal alcohol serving procedures.
  • Red Cross First Aid/CPR/AED Training
  • Campus Life training for event protocols and responsibilities.
  • Event management training for fire safety and crowd control protocols.
  • Safety training in de-escalation techniques.
  • Diversity & inclusion training.

This is an on-call position. Schedule based on college and other departmental needs or requirements. Must be willing and able to work non-traditional schedules, generally after 9pm Thursday through Saturday (other days as needed), typically ending by 2am.

Minimum Qualifications:

Education

The successful candidate will have a Bachelor’s degree (preferred).

Experience

An equivalent combination of education and relevant experience will be considered.

Skills and Knowledge

  • Must be at least 21 years old.
  • Must be willing and able to serve as the liquor license holder at each event with alcohol and when working.
  • Must have excellent communication (written and verbal) skills, including proficiency in electronic communication.
  • Must have familiarity and competency with working with G Suite applications, especially Google Docs and Google Sheets.
  • Must have strong interpersonal skills with ability to develop and maintain collegial relationships.
  • Must be flexible, collaborative and have a positive attitude.
  • Must be organized, responsible, personable, and able to work well with others even under duress.
  • Must have the ability to be firm, yet diplomatic and manage conflict. Prior training or experience with de-escalation techniques desired.
  • Must be able and willing to work with a diverse group of students and staff. This includes engaging with students present at events to help create a positive and inclusive environment.
  • Must have experience working with young adults.
  • Must be available to participate in training and occasional staff meetings which will be scheduled during lunch and after business hours when possible, which occur every other week during the academic year.
