About the Position

 

 

The Department Office Manager serves as a point of contact for walk-in and telephone inquiries to the Department of Biological Sciences. In addition, the Office Manager has primary responsibility for PeopleSoft managed transactions initiating from and processing through the department regarding student records, tenure-track and part-time faculty contracts, staff contracts and time reporting, and building of online schedules of quarterly course offerings. Other administrative tasks include, but are not limited to: providing information via departmental forms and brochures and referring callers to appropriate offices; managing add/drops and special registration forms; processing quarterly teaching evaluations for faculty and teaching associates; coordination with IT regarding departmental web page updates; managing requests for student advising and efficient reporting of graduation check sheets. The Office Manager works closely with the Department Chair under general direction, and supervises directly one 0.25 time base office assistant.

 

 

Responsibilities

Major responsibilities include meeting PeopleSoft deadlines for course schedules and employee data and contracts. The Office Manager is ultimately responsible for the smooth flow of paperwork originating and moving through the department. The Office Manager supervises directly the activity of one 0.25 time base Office Assistant.

Requires

Excellent word processing skills, especially MS Word and Excel. Detailed understanding of PeopleSoft personnel management, student data, and scheduling pages. Ability to multitask, managing software and webpage applications while managing the efficient conduct of walk-in, telephone and internet based office inquiries.

Minimum Qualifications

 BS preferred; or 3 years experience in a similar office managerial position.

Preferred Skills and Knowledge

MS Word, Excel, PeopleSoft personnel, student and course management

 

 

Condition(s) of Employment
