The Coordinator will administer and assist in all aspects of the Undergraduate process for the Department of Civil and Environmental Engineering. This includes providing administrative support to the Department, assisting with faculty searches, advising current and prospective students, ABET coordination and expense report reconciliation and approval. The Lehigh community takes seriously our commitment to antiracism and The Principles of our Equitable Community.

1. Administers and assists in all aspects of the Undergraduate process for the Department of Civil and Environmental Engineering (CEE)
*Maintains and updates student records 
*Establishes and maintains new undergraduate student files
*Provides summary of student records to faculty advisers to facilitate advising and successful completion of degree
*Provides information to assist faculty in determination of undergraduate student awards and fellowships
* Coordinates and attends all undergraduate events including Family Weekend, Candidate’s Day, Sophomore Welcome Reception and prospective student events both in-person and virtually

2. Provides administrative support to the Department of CEE
*Provides direct support to Department Chair and Associate Chair as needed to ensure successful and timely accomplishment of Departmental activities
*Arranges meetings, appointments, seminars and receptions 
*Supervises work study students; this includes staffing, scheduling and submitting payroll
*Creates, updates and posts Departmental Directory, calendar and flyers; on paper and electronically
*Assists the Associate Chair with development of course line schedules, inputs data into database monitors and updates enrollment capacities, room assignments, etc. throughout registration
*Coordinates examination schedules with Registrar; maintains room reservations electronically for the department, as well as requests from entities outside the department
*Performs clerical and receptionist responsibilities as needed
*Assist graduate students when needed

3. Provides administrative support for Departmental visits and faculty searches
*Enters advertisements in various vendor online systems
*Maintains applicant online database and educates search committee and faculty on access to database system
*Corresponds with applicants and visitors as necessary regarding status updates
*Coordinates committee meetings, phone, zoom and in person interviews 
*Coordinates schedules and creates on-campus agendas, supplying updates to participants as needed
*Reserves rooms and arranges refreshments for the various segments of the on-campus visit
*Arrange hotel and travel accommodations and dining reservations during visits
*Disseminate applicant information to other departments in preparation for the interview
*Administer candidate evaluations and summarize evaluation results
*Support Search Committee Chair and Committee members as needed

4. Provides assistance to current and prospective students
*Counsels students regarding the general requirements of the CEE undergraduate programs
*Acts as primary point of contact for undergraduates; refers them to the appropriate office or faculty member
*Solves problems related to registration and courses; assists students with securing classes via overrides as needed
*Provides assistance to faculty seeking help advising students; advises students when Faculty Advisor is unavailable
*Consults with faculty advisers to plan registration schedules and procedures
*Coordinates major declaration days for freshman choosing CEE major
*Meets with prospective students and their parents to provide general overview of program requirements when the Chair or Associate Chair is unavailable
* Meets with students transferring from other departments and assists with identifying shortcomings in courses taken to date and provides general recommendations on course choice to meet CEE program requirements.
* Facilitates completion of student paperwork in timely manner through DocuSign management

5. Provides ABET accreditation support
*Assists program in keeping ABET work on schedule and organized
*Facilitates faculty and staff submission of ABET materials
*Maintains lists of ABET constituents such as alumni, employers, executive advisory board, etc.
*Coordinates schedules and meetings required for the CEE ABET process
*Coordinates communications with internal and external constituents
*Administers senior exit questionnaires and various other ABET surveys
*Summarizes feedback obtained from constituents via surveys
*Attends College and Departmental meetings on ABET topics
*Assist with clerical aspects of ABET self-study report

6. Administers Course Site Student Handbook for department
*Manages this centralized resource for CEE students, faculty and staff 
*Maintains expertise in use and operation of Course Site or current University course software
*Maintains list of enrolled CEE Course Site users
*Maintains groups to facilitate Departmental communications
*Updates and posts blank Balance Sheets, CEE elective course lists and other Undergraduate Student Forms
*Assist students, faculty and staff members with troubleshooting of Course Site
*Broadcast departmental announcements
*Communicates undergraduate policies and rules
*Scans and posts flyers, applications and announcements from external constituents with internship, scholarship and employment opportunities, as well as graduate school program information

Special Considerations

The duties of the position do not allow for a remote work option; the employee in this position will be required to work on campus where they can be fully accessible to the Lehigh community

Qualifications

High school diploma or equivalent combination of education and experience; Bachelor's Degree preferred

Three to five years related work experience                                                 

Strong interpersonal skills; ability to create successful working relationships with a variety of team members and stakeholders

Positive attitude, detail and customer oriented 

Demonstrated excellent writing and editing skills with strong attention to detail 

Flexible and responsive, with the ability to juggle competing responsibilities 

Experience coordinating schedules as well as making reservations for flight and hotel accommodations

Excellent computer skills with experience using Word; PowerPoint and Excel

Knowledge of the Banner System a plus

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position

All Lehigh faculty and staff are required to be fully vaccinated and receive a booster shot six months after their second vaccine; unless they receive an approved medical or religious exemption from the requirement.
