Analyzes, interprets and processes all charitable contributions to the University. Ensures data integrity for optimal use of the Development and Alumni Relations database. Maintains accurate records through regular demographic and biographic updates. Performs data verification, imports data, completes regular data update projects and consistently reviews and updates records. Duties include researching, processing, adjusting, documenting and receipting gifts. Additional duties include entering and adjusting pledges, overseeing pledge reminders and handling inquiries from internal staff and all types of donors including individuals and organizations. This position requires an understanding of Lehigh gift policies and procedures, IRS charitable donation acceptance and receipting regulations as well as a knowledge of accounting principles, fundraising practices, industry best practices and established data standards. This position is a Grade: 7-37.5 with an approximate salary range of $36,090-$43,330 and is subject to change based on experience, skills and qualifications

1. Analyzes, interprets, processes and adjusts all charitable contributions to the University adhering to the 24 to 48-hour turnaround policy.
•Complies with all IRS, CASE, FASB and other government and industry standards and attends trainings to remain informed of any changes.
•Examines gifts and corresponding documentation to determine the gift amount, legal donor, gift designation and charitable gift eligibility and performs any required research to ensure that gifts are processed correctly and according to the donor's intent.
•Processes checks, cash, credit cards, matching gifts, stock gifts, estate gifts, gift annuities, IRA's, gifts-in-kind, wire transfers, payroll deductions, anonymous gifts and cash transfers and scans and attaches gift documentation in the DAR database.
•Processes gift and pledge adjustments and ensures that proper documentation from the donor has been obtained and attached to the adjustment for auditing purposes.
•Assists auditors by gathering requested donation information and backup.

2. Receipts gifts and payments per policy and regulations.
•Remains informed of current IRS publications and changes to receipting guidelines.
•Proofreads all receipts for correct names, addresses, amounts and gift designations.
•Runs and prints tax receipts and adheres to the 48-hour turnaround time from the processed date of the gift.
•Produces high level calendar year end donor summaries.
•Provides duplicate or corrected receipts upon request.

3. Creates, adjusts and updates pledges in the DAR database.
•Performs required research to ensure that pledges are processed and recorded correctly.
•Examines documentation to determine the pledge amount, legal donor, gift designation and charitable gift eligibility.
•Works with other University departments and Finance to adjust existing and create new designations.
•Oversees the pledge reminder process.
•Enters new pledges based on Gift Commitments, Statements of Intent and other documentation and scans and attaches pledge documentation in the DAR database.

4. Creates and maintains accurate constituent records in the DAR database and updates and maintains constituent record attributes, codes, types and relationships.
•Maintains knowledge of industry best practices, follows existing data standards and procedures and participates in professional development activities, webinars and training.
•Creates new constituent records including individuals and organizations in the DAR database and identifies duplicate ID's to be merged or deleted.
•Processes student melt and defers and updates corresponding parent records.
•Updates constituent contact information, including name, address, contact details, and employment status, as well as marital status, family relationships, and educational background, including non-Lehigh degrees.

5. Performs data verification, imports data and completes regular data update projects.
•Performs a critical and responsible role in data integrity projects.
•Ensures compliance with established data standards.
•Proactively searches for and corrects inaccurate data, researches record discrepancies using various services and resources and collaborates with other Lehigh departments to verify data.
•Runs the parent load import to create new parent records.
•Processes updates for recent graduate surveys.

6. Researches and resolves both internal and external constituent questions and concerns and serves as a departmental liaison to other University departments.
•Responds to ticketing system requests within 48 hours to guarantee accurate and timely updates.
•Researches and resolves internal and external gift and constituent related questions and concerns.
•Often Serves as a first touch for key constituents; many with urgent and sensitive concerns.
•Prepares giving summaries for other staff members in the department.
•Serves as a departmental liaison to the Registrar's Office, Office of Economic Engagement, Bursar's Office, Controller's Office, Human Resources and all other Lehigh departments.

Qualifications

•Associates, Vocational or Technical Degree in Accounting, Finance, or a related field

•Three to five years of related work experience

•Effective communication and problem-solving skills

•Expereince with gift processing, compliance, database management and documentation accuracy

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
