Department Overview:

The Wisconsin MBA & Master’s Programs combine a first-class education with the opportunity to implement practical learning. Our MBA programs provide a global experience within the curriculum which provides further experiential learning for our students. The MBA & Master’s Programs Office is responsible for building the Wisconsin School of Business brand, recruiting, admissions, registration, advising, supporting co-curricular educational opportunities, supporting the delivery of top quality degree programs by the faculty, and providing career services for the degree programs.

Schedule:

Up to 15 hours per week during academic year and 20-30 during summer (May-August); Wed evenings from 5-8 p.m. and one-weekend typically per month (Saturdays and Sundays from 7:30-4:30 p.m. each day for class weekends)
Special Note:
You will need to be available to work 10-15 hours weekly with flexibility around the one-time per month in-person weekends - Saturdays and Sundays (7:30-4:30pm each day).
Summer hours are welcome and can be negotiated. Due to the work flow and demands of the office, vacation time will not be allowed during some part of August. Discussion will be given related to this point. Ideally, if you work summer hours, you will need to be available one week of August (Mon-Fri) for our Executive MBA residency.
Additionally, if you work summer hours, you will need to be available one weekend in August (Saturday and Sunday) for our new student orientation for Professional MBA students.

Position Summary/Job Duties:

This position is supervised by director of student & faculty support and global learning for the Wisconsin Professional and Executive MBA programs at the University of Wisconsin- Madison, Wisconsin School of Business. The position receives general direction from the director of student & faculty support and global learning, assistant director, and assistant dean, and works cooperatively with other staff titles in the department, the business school and the UW-Madison. This position is primarily responsible for providing administrative support for all student & faculty services and global learning operations within the Professional and Executive MBA programs, under the direction of the director. This position reports directly to the director of student & faculty support and global learning on general office administration items.

This position requires the ability to work well in a small fast paced environment, proven technical expertise in working with the Microsoft Office suite of products, the student-access level of the Integrated Student Information System (ISIS). Excellent customer service skills, attention to detail, and strong written and verbal communication skills. This position will also provide support, ensuring a smooth program delivery by anticipating problems and initiating solutions, being organized, and being able to problem solve in the moment. The Program Assistant is responsible for delivering high-quality customer service to program students and faculty. Note: There may be a need for lifting heavy boxes (up to 50 lbs.) as part of the job requirements.
Working later evening and weekend hours are required for class coverage and special events such as speaker series, orientation programs, and graduation activities.

Goals and Worker Activities
A. 90% Manage Logistics of Programs
1. Check work email (@wsb.wisc.edu), pick up program staff mail upon arrival in MBA & Master’s Programs office.
3. Managing communications with incoming and continuing Professional and Executive MBA students by managing the student listservs and distributing email as needed.
4. Provide academic support to Professional and Executive MBA program instructors. Make copies of materials upon request and deliver materials to instructor. Provide necessary class materials per instructor’s request.
5. Support director and assistant director of academic resources & student affairs with preparing and participating in annual picnic, orientation, and graduation activities for the Professional and Executive MBA programs.
6. Manage reception desk on Professional and Executive MBA class weekends including managing central email account (emba@wsb.wisc.edu) inquiries, opening classrooms, MBA student business center, and lounge under the assistance of the director and assistant director of student, faculty and global support.
7. Serve as resource to A/V and Conference Services on an as need basis throughout Professional and Executive MBA class weekends.
8. Typing, copying, filing, assembling/distributing course materials for Professional and Executive MBA program faculty and student cohorts.
9. Create online surveys and format collected data under the assistance of the director and assistant director of student, faculty and global support.
10. Delivering service to the faculty and students in the Professional and Executive MBA program on an as needed basis.
11. Ship and receive course materials and office supplies under the assistance of the director and assistant director of student, faculty and global support.
12. Support director and assistant director of student, faculty, and global support with special projects for the Professional and Executive MBA students as needed.
13. Support all student, faculty and staff of the Professional and Executive MBA Programs.
