Under direction of the Associate Director of POC Finance, the Administrative Coordinator provides primary administrative support for a broad array of business/financial functions related for the operations of Planning, Operations, and Construction (POC), the Department of Design and Construction (DDC), and the Department of Facilities Services (DFS). The duties of this position will support these departments in projects related to construction, remodel, furniture, facility maintenance, and campus planning requests for the University.
Duties
- Process invoices for the Planning, Operations, and Construction (POC) department (including the Department of Design and Construction and Department of Facilities Services), obtain necessary approvals and coordinate with Project Managers.
- Process all incoming emails to the POC department, coordinate assignment of tasks with the POC Finance team, copy and scan documents, and other general office responsibilities. The position is required to respond directly to approximately 80% of the inquiries.
- Enter financial information into database/construction management software.
- Record and reconcile credit card transactions and substantiations on a monthly basis.
- Perform tasks as a Requestor in the PeopleSoft system as needed to process purchase requisitions.
- Coordinate financial deposits for the POC department.
- Effectively communicate and coordinate with internal and external groups to ensure that appropriate parties are well-informed.
- Perform other duties as assigned.

Skills and Qualifications
Required: Bachelor's Degree; administrative support experience; proven ability to organize and help to make decisions on prioritizing tasks in high demand environment. Excellent interpersonal and written communication skills; superior organizational skills and attention to detail; proper phone and email etiquette; ability to prioritize and manage multiple projects and deadlines. Proficiency in Microsoft Office products including Word, Excel, Outlook, etc.; familiarity with Google products including Gmail, Sheets, Docs, Calendar, etc.; knowledge of basic office equipment including scanner, copier, phone systems, computer, etc.
Preferred: Ability to plan, schedule, review, and manage daily, weekly, and monthly tasks for both the individual and the team in a high-paced environment with challenging deadlines. Knowledge of PeopleSoft System in the financial modules (Credit Cards, Requisitions, PO and Voucher Inquiry).

This is a Regular, Nonexempt, 40 hour per week position.
Expected Pay Range: $22.50 - $25.00 per hour
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
