Summary of Position: This position includes duties such as: providing responsible independent secretarial support, selection, training, and supervision of student workers, and assist in the day-to-day operations of the Personal Counseling Center.

Required Education: Satisfactory completion of two years college or equivalent.

Equivalency for education is two years of full-time related work experience equals one year of education.
 
Required Work Experience: Two years full-time secretarial work experience to include advanced experience with Microsoft Office Suite, office supervisory responsibility, and interacting with the community where tact, diplomacy, and problem solving are required.

Additional Education/Experiences to be Considered: Understanding of mental health issues, experience working in a mental health facility or medical health practice/agency.
Experience using an Electronic Health Record (EHR).
Experience with graphic design projects.
Experience working with college students or on a college campus.
 
Essential Duties/Responsibilities: Answer inquiries from a variety of internal and external sources, and provide explanation and interpretation of the policies, practices and procedures of a counseling agency.

Collect and tabulate complex data from a variety of sources.

Coordinate intra-unit operations, procedures and activities with other secretarial/clerical personnel to maintain consistency in the application of policies and procedures.

Initiate correspondence requiring an understanding of the PCC’s activities, policies, and procedures, with other Ferris entities and external community entities.

Interview, recommend for hire, train, and supervise student front desk workers.

Perform any/all duties as defined in Secretary, Level I and II position descriptions.

Produce correspondence, reports and other documents utilizing computer software programs such as word processing, spreadsheets, database and file management.

Regularly deal with sensitive and confidential matters.

Greet clients, students, support persons, campus partners, and parents. This includes responding to the office phone and email account.

Schedule, reschedule, and coordinate with clinical staff to ensure timely access to counseling services.

Process highly confidential information in accordance with FERPA, HIPPA and the Mental Health Code of Michigan.

Maintain and update multi-provider clinical schedules to include department meetings, clinical meetings, blocking of crisis hour, and professional development.

Assist the Director of the Personal Counseling Center with daily operations of the Personal Counseling Center.

Maintain electronic communications for the department, including the PCC website, social media presence, and email.

Coordinate, schedule, and take an active role in Psychoeducational programing and outreach working with students, staff, faculty and the community.

Coordinate the care for mutual patients/clients between the Birkam Health Center and the Personal Counseling Center.

Coordinate marketing and promotional programing to include the review, revision, and development of informational materials and special event announcements.

Monitor and maintain all general fund and auxiliary accounts. Tasks and processes include: Purchasing card reconciliation and management, initiating requisitions and purchase orders, processing all vendor billing, and resolving issues/problems as needed.

Answer routine correspondence and mail.

Assist the Director of the PCC in maintaining deadlines as mandated. .

Assist counselors with multi-media presentations to include creating, editing, and research.

Assist coworkers, customers, etc. with sensitive issues and/or decisions.

Prepare for and record minutes of meetings.

Demonstrates an understanding of diversity, equity, inclusion and belonging, especially in working relationships with students, faculty, staff, and community members.

Support, promote, and develop university student enrollment and retention initiatives.

Any other duties assigned within the position classification area.

 
Marginal Duties/Responsibilities: Monitor budget and maintain related records and reports for a major division.

Attend meetings and conferences in absence of supervisor.

Provide back-up assistance for other clerical positions.

Serve as building manager for the Birkam Health building.

 
Skills and Abilities: Communicate effectively with a variety of students, faculty, staff, and visitors in a variety of situations.

Input, retrieve, download, merge and output information from software programs and systems.

Demonstrated commitment, experience, and understanding of diversity, equity, and inclusion.

Operate a variety of office machines and equipment such as computer, calculator, multi-line telephone, and copier.

Plan, organize and make sound judgments and decisions.

Use computer software such as spreadsheets, database, word processing and knowledge of using an electronic medical record.
