At DMU you will make a meaningful contribution to the dynamic future of Medicine and Health Sciences. DMU is seeking an Administrative Assistant in the Student Counseling Center. The Administrative Assistant performs a variety of duties to support the functions of the department including: greeting and directing office, email, and telephone traffic, scheduling of appointments, providing administrative support to the Center’s contracted medication provider, maintaining the department’s electronic medical records system (Titanium) and paper files, and assisting in the development, planning, and delivery of outreach programming (e.g., room scheduling, placing catering orders, preparing materials, periodically staffing events). As the initial point of contact for ongoing and prospective clients of the Student Counseling Center, the Administrative Assistant also engages in triage, determining the purpose and urgency of calls/visits and appropriate follow-up in a compassionate and caring manner. This position involves the management of sensitive client information and requires strong knowledge of professional ethics and state laws regarding confidentiality of protected health information. The Student Counseling Center provides clinical services in-person, via phone, and through a secure video platform. Due to the need for an in-office presence during business hours in the event of in-person client emergencies, this position is ineligible for regular telework. Occasional telework may be approved in certain circumstances (e.g., inclement weather).

What you’ll do:

  • Greet visitors to the Student Counseling Center.
  • Serve as an informational resource to faculty, staff, and students.
  • Provide assistance to and screen incoming calls/emails from prospective and ongoing clients, as well as other members of the campus community. Seek consultation, as needed, on emergent situations that may require a counselor response.
  • Respond to, document, and follow up with all client communication in a timely fashion.
  • Assist clients with completing initial paperwork and clients in for their appointments.
  • Schedule and track client appointments (i.e., session attendance) using Titanium Scheduling System.   

What we’re looking for:

  • Minimum Associates degree. Bachelor’s degree preferred.
  • Three years of successful administrative support experience required.
  • Past experience in a mental health-related setting is strongly desired.
  • Experience using Titanium Scheduling System or advanced knowledge of using/managing databases preferred.
  • Advanced knowledge of Microsoft Office suite, Canva, and ability to create charts, graphs, spreadsheets, and fliers preferred.
