Job Summary:

The Foster Care Support Administrative Assistant 3 reports to the Caregiver Support Supervisor and provides support services of considerable difficulty to the Foster Care Support Team. This includes the Concerns Team and the Licensing Team as needed. This position answers all emails in the Adoption Certification inbox, processes certifications and manages the Adoption Registry. This position handles the state ID inbox and issues all state IDs to foster youth. This position is also responsible for Adopt US Kids and the warmline with taking live calls daily.

Job Duties:
  • Provides prompt and thorough information via telephone, letter and email to out-of-home providers through the
    Warmline. Ensures that the families are provided excellent customer services. Assists in resolving the families' needs, problem solves their need and ensures that a resolution is found even if outreach to another area is
    needed.
  • Maintains the Adoption Certification inbox daily and processes all certifications. Ensures that the adoption registry is up to date. Sends out emails monthly to let agencies know which families are on the registry.
  • Maintains the State ID inbox daily and processes all state IDs. Ensures the state IDs are logged properly on a spreadsheet. Manages the Adopt US Kids database.
  • Prepares weekly huddle board updates.
  • Other duties as assigned as related to the position.

Selective Preference(s):

Must be bilingual in English and Spanish.

Pre-Employment Requirements:

Must be able to secure and maintain clearance from DCS Central Registry.

Must be able to secure and maintain an Arizona Fingerprint Clearance Card.
