Summary of Position: Project Coordinator to support the seamless execution of our core priorities by managing administrative tasks, coordinating key activities, and streamlining workflows. This role is perfect for someone who enjoys creating order, supporting teams, and keeping projects on track—all while collaborating with stakeholders to turn big ideas into real-world results.
Duties and Responsibilities
Administrative Support:
Organize and coordinate meetings, events, and appointments, ensuring efficient calendar management
Maintain organized records of communications, agreements, and project documentation
Assist with budget tracking, invoicing, and basic financial administration
Prepare and distribute correspondence, reports, and updates for internal and external stakeholders
Monitor deadlines and follow up on outstanding tasks with team members and partners
Coordinate event and travel arrangements and logistics
Project Coordination:
Track the progress of initiatives, ensuring timelines and deliverables are met
Identify risks, bottlenecks, and propose solutions to enhance project outcomes
Assist in the development of processes and systems for smooth operations, including templates and checklists
Prepare reports, presentations, and briefing materials for meetings
Support the planning, execution, and tracking of pilot programs, courses, and events, managing logistics such as task lists and status reports from start to finish
Stakeholder Engagement:
Serve as the first point of contact and liaison for internal teams and external partners, providing timely responses and updates
Conduct research and compile insights to support strategic initiatives
Facilitate communication between departments and external collaborators to maintain alignment
Coordinate follow-ups and actions from meetings or strategic discussions with stakeholders
Systems and Process Management:
Implement and refine tools for project tracking, reporting, and communication
Maintain operational efficiency by optimizing workflows and ensuring processes are followed consistently
Communications and Reporting:
Prepare reports, presentations, and summaries for leadership, highlighting progress and key updates
Organize regular newsletters or email updates to keep stakeholders informed and engaged

Education
Demonstrated ability to manage complex projects and stakeholders is more important than formal education. With this role we are seeking to prioritize skills, mindset, and potential over formal degrees, although if you have one that’s fine. What we are looking for is problem-solving ability, execution skills, critical thinking and adaptability that demonstrates leadership potential
Experience
Proven experience in administrative and project coordination roles, preferably in a dynamic, multi-stakeholder environment
Required Skills

You’re not afraid of hard work and are willing to risk taking the initiative to seek out fresh ways to solve problems related to work

Familiarity with project management tools (e.g., GANTT charts, Trello, Asana, or similar) and office productivity software
