Job Summary/Basic Functions

Provide high level administration and professional support services for the Center including facilitation and training services, marketing, and daily operations.

The Administrative Coordinator will directly support training services which includes coordinating logistics, speakers, and participants; preparing materials and in-person/online training spaces, and supporting evaluation processes. They also directly assist with the Center’s marketing efforts by implementing marketing strategies, drafting messaging and graphic designs, and maintaining the website.

Professional support will also be provided in daily operations, including calculating quotes for services, writing formal proposals, managing office inventories, and maintaining all office equipment.

The Administrative Coordinator also supports facilitation services which may include report writing and review, preparing materials and meeting spaces, attending facilitated meetings, and distributing materials.

This position must also continually pursue professional development opportunities to enhance skills and maintain a level of expertise for in person and remote trainings and meetings.

Minimum Qualifications

Education: Bachelor's degree is required.

Experience: One year of responsible clerical, customer services, and secretarial and/or administrative support is required.

Job Duties:

  • 30% - Support training services. This includes collaborating with the Program Administrator to assist in the planning, implementation, and evaluation of training services. This includes, but is not limited to, coordinating speaker schedules, preparing and organizing participant and trainer materials, set up of in-person and online spaces, and documenting and reporting evaluations. - (Essential)
  • 25%% - Implement marketing strategies. This includes writing and editing marketing copy, designing print and digital promotional materials and graphics, distributing communications and special publications, maintaining the website, researching facilitation and training requests for proposals, obtaining updated testimonials, researching and completing award applications, and supporting efforts to measure and report on impact of services. - (Essential)
  • 20% - Facilitate daily operations. This includes preparing quotes for services, writing, designing, or editing formal proposals, preparing necessary internal forms (e.g., consultant pay forms), managing office inventories, and maintaining all office equipment, filing systems, and a master office schedule. - (Essential)
  • 10% - Support facilitation services. This includes report writing and review, preparing materials and meeting spaces, attending facilitated meetings, and distributing materials. - (Essential)
  • 5% - Pursue professional development and build internal and external relationships. It is imperative to the Center’s sustainability that all positions continually pursue professional development opportunities to enhance skills and maintain a level of expertise for in person and remote trainings and meetings as well as continually build internal and external relationships. - (Essential)
  • 10% - Supports the Center by completing all other duties and special projects as assigned. - (Essential)
