Job Summary/Basic Functions

The Noel Studio seeks an administrative coordinator to provide high level administration and professional support services for all activities of the program, direct executive assistance to program leaders, and oversee the program budget. Services provided include fiscal management, written communications, meeting and resource management, data management and analysis, scheduling, organization, conducting research, and coordination of activities across programs to ensure a positive employee experience and seamless service. The typical workday is 8:00am-4:30pm Monday-Friday, with the occasional need for flexible hours during events and programs.

Minimum Qualifications

Education: Bachelor’s degree is required.

Experience: One year of progressively responsible clerical, secretarial and/ or administrative support is required. Experience working with budget/purchasing is required.

Job Duties:

  • 25% - Oversee Noel Studio budget/purchasing - (Essential)
  • 15% - Prepare and submit hiring forms for Noel Studio student workers; reserve Noel Studio physical spaces - (Essential)
  • 15% - Assist in the planning, preparation, and staffing for events in the Noel Studio and the Office of the Assistant Provost - (Essential)
  • 10% - Maintain office space and equipment and perform other duties such as submitting work orders, ordering supplies, preparing items for surplus, etc. - (Essential)
  • 10% - Manage schedule of Assistant Provost and oversee sensitive meetings/prep meeting docs - (Essential)
  • 10% - Oversee records and archives for the Noel Studio and Office of the Assistant Provost - (Essential)
  • 10% - Assist faculty and guests with tech needs and hybrid setups - (Essential)
  • 5% - Ensures the effective operation of programs by performing other duties as required or requested - (Essential)
