Position Summary

The English, Academic Literacies, and Communications Support Coordinator is responsible for supporting the English, Academic Literacies, and Communications Assistant Dean with enrollment, retention, and completion and support to students in their programs of study. The position plays a critical support role in the administration of programs and student engagement and support in the English, Academic Literacies, and Communications Departments. Responsibilities include aiding in researching, developing, and maintaining strategic initiatives for student success; tracking and reporting student, course, and school data to the assistant dean and academic chairs; communicating with students; maintaining marketing materials; and operating the Humanities Building Liberal Arts administrative office.

In addition, the English, Academic Literacies, and Communications Support Coordinator is responsible for providing administrative support to the academic chairs and coordinators in the area, including assisting with the coordination and implementation of school policies and procedures and the implementation and evaluation of school instructional programs. This position will also support the other administrative offices within the school of Liberal Arts and departments with faculty assigned to the Humanities Building.

Pay dates occur on the 7th and 22nd of each month. If those dates fall on a weekend, the pay date occurs on the Friday prior to the 7th and 22nd. As an employee of the college, you are entitled to a comprehensive benefits package.

Job Duties and Responsibilities

Provide the area with support for recruitment, enrollment, and retention of students in programs of study. Manage contact lists for students in programs of study or who have nearly completed a concentration in a liberal arts discipline using Colleague, Informer, and Excel; track retention of new and continuing students in programs of study using Colleague, Informer, and Excel; support student enrollment and engagement activities including development, maintenance, and distribution of department/program promotional materials and surveys. Provide administrative support to student engagement and outreach events within the School of Liberal Arts. Coordinate and schedule meetings, special events, or departmental activities at the request of the assistant dean and/ or department chairs, including coordinating facilities use, catering, publicity, special materials, etc.

Assist the assistant dean in the research, development, and maintenance of strategic initiatives for student success, including semester schedules, staffing, annual unit-level goals, course enrollments, and cancellations. Provide assistant dean with reports as needed on enrollment figures, FTE's, part-time teaching records, class cancellations, student complaints and outcomes, etc

Carry out operation of the administrative office to ensure student success: collect and manage all faculty syllabi including fielding student transfer requests, gather faculty office hours and enter in Colleague, assist students needing waivers to register for classes, notify students of class cancellations and aid in selecting replacement section or course, and help in obtaining substitutes for canceled classes to ensure seamless instruction. Assist with class scheduling and enter instructor assignments as requested. Assist in tracking faculty evaluations and faculty promotion and tenure processes. Coordinate with faculty and academic chairs to complete book orders. Assist instructional coordinators with classroom changes.

Support area communication and serve as a resource for the assistant dean, new and continuing faculty, and staff. Maintain e-mail contact lists, part-time faculty files, and contact information. Provide support with hiring paperwork and onboarding of new part-time faculty. Assist with communication to students, faculty, and staff. Assist with inquiries and requests.

Greet visitors to the office, answer inquiries, and provide information concerning college facilities, class locations, and other requests for assistance; provide directions to other college personnel and resources as appropriate. Monitor and respond to departmental email inbox. Assist and support other administrative offices within the School of Liberal Arts.

Ensure appropriate telephone coverage for the office. Oversee the opening, sorting, and distribution of mail to personnel assigned to the office, the maintenance of mailboxes for full—and part-time faculty, and the timely distribution of mail.

Ensure web presence is updated in collaboration with instructional coordinators: communicate necessary updates to department websites, including verifying the function of hyperlinks, updating/creating content, ensuring faculty ranks, biographies, and contact information are current, and helping promote events through social media. Collaborate with all Liberal Arts offices on communication via school-wide newsletters, events calendars, etc

Serve as time recorder for the office (faculty and staff) using an automated leave accrual system; prepare and submit payroll documentation, including FMLA and Exception Reports, in compliance with policy, procedures, and deadlines established by the Office of Human Resources and the Payroll Office. Monitor and approve temporary hourly payroll reporting in the college web time entry and approval online system.

Prepare school and departmental requisitions, budget transfers, and purchase orders as directed using the automated purchasing system. Monitor departmental budget records and provide the administrative assistant to the dean and administrative staff with status reports as requested. Maintain an inventory of office supplies and oversee the operation, servicing, and maintenance of all office equipment.

Serve as liaison between the office of Facilities Management, Public Safety, IIT, and other college services to ensure timely services. Submit Project Service Request (PSR), key requests, and other forms necessary for new faculty to obtain office space, office equipment, etc. Follow up with facilities and project manager to ensure the job is completed in a timely manner.

Other duties as assigned by the dean, assistant dean, or the administrative assistant to the dean. Represent the administrators and/or the office at meetings as requested.

Required Qualifications:

Associate's degree or higher; in lieu of degree, an additional two years of related experience is required.

Minimum of two years of relevant experience

Ability to interact with various stakeholders in a professional setting and to work independently.

Experience with high-quality customer service involving a diverse group of stakeholders.

Advanced computer and graphic skills with a high level of proficiency in all Microsoft office suite applications: Word, Excel, Outlook and PowerPoint as well as a desire to learn new technology applications

Experience managing projects from start to finish and meeting deadlines

Demonstrated ability to communicate verbally and in writing

Demonstrated commitment to equity, diversity, and inclusion in the workplace

Preferred Qualifications:

Experience working with data sets and/or preparing brochures

Experience in a higher education setting, including experience with Colleague
