Position Summary

This role involves interacting daily with students, faculty, and staff; providing clerical and office management support; supervising student employees; providing written and oral communication with visitors, students, faculty, and staff. The Program Assistant should have strong computer skills and expertise with Microsoft Office Suite. To be successful in this position, the Program Assistant must be highly organized and efficient with the ability to balance multiple tasks and responsibilities; show a positive attitude that contributes to a collaborative culture; act with flexibility and patience while remaining calm under pressure; willing to learn new skills and programs; demonstrate good judgment and attention to detail; show strong written, verbal and interpersonal communication skills; and work independently and as part of a team. The position also works closely with other departments within the College of Arts & Sciences and across the University.

Minimum Required Education and Experience

High School Diploma and a minimum of 2 years of experience in an office or related environment.

 

Job Duties

  • Communication and Events Support • Assist with the planning and execution of departmental events • Carefully prepare, review and edit various types of communications • Assist with event and travel planning
  • Administrative Support • Collect, enter and update information in the university data systems • Provide collaborative supervision for student staff member • Support departmental searches and special guest visits • Assist with the tracking and distribution of enrollment data • Schedule room reservations as needed • Participate as needed, in special department projects • Attend and participate in staff development opportunities
  • Financial Support • Prepare check requests and purchase orders • Assist in the management of departmental budgets, monitor and reconcile expenses • Manage procurement card expenses and allocations for the department Process purchase, work, print and catering orders; maintain financial records
  • Additional duties as assigned
