  • This position will work onsite the Grand Forks, ND campus.

Purpose of Position

The Faculty Affairs Specialist is an opportunity to work in a vibrant, fast-paced university office and interact with professors, deans, Provost’s Office staff, and other campus leaders. The Faculty Affairs Specialist position is vital to building systems and process infrastructure for Faculty Affairs, a new area within the Provost’s Office. The purpose of this position is to provide a high level of project and process management, event planning, and communications. This position requires a high level of independent and proactive decision-making and leadership to support the Vice Provost for Faculty Affairs and Faculty Affairs processes and initiatives.

Duties & Responsibilities

Faculty Affairs Processes Project Management and Process Improvement

  • Provide a high level of project and process management and independent decision-making regarding Faculty Affairs processes and initiatives.
  • Create and maintain Faculty Affairs processes and systems and ensure all deadlines are met.
  • Develop and maintain a regular cycle of process improvement, documentation, and record keeping for Faculty Affairs processes. 
  • Serve as a resource for process stakeholders and effectively communicate updates and changes on the VPFA website and through other communications to stakeholders.
  • Provide overall leadership and coordination in the campus-wide transition to the Faculty Success/Watermark Tool for implementing Faculty Affairs processes. 
  • This position requires a high-level of responsibility, confidentiality, and independent decision-making to implement sensitive and vitally important Academic Affairs and university processes. 

Faculty Affairs Outreach and Programming, Event Planning, and Communications

  • Develop budgets for Faculty Affairs events and initiatives. Run programs while staying in budget.
  • Secure venue, order food, develop invitations, etc. for lunches, receptions, book and writing groups, etc.
  • Work with Vice Provost for Faculty Affairs to develop a strategic internal communications plan for all Faculty Affairs events, deadlines, and initiatives
  • Interface with and maintain positive relationships with campus stakeholders such as the Provost’s Office staff, Deans, department chairs, President’s Office staff, Human Resources, TTaDA, University Analytics & Planning, UND Alumni Association & Foundation and other units as needed.
  • Review and independently draft Faculty Affairs correspondence
  • Update and maintain Faculty Affairs webpages
  • Maintain email distribution lists (retired faculty, faculty book and writing groups, department chairs, etc.)
  • Coordinate faculty communications regarding university events such as commencement ceremonies and regalia and the UND Alumni Association & Foundation endowed faculty investiture ceremony

Budget Management/Oversight, Workflow Management, and Scheduling

  • Budget Development and Oversight
  • Stay current with events and situations requiring VPFA attention
  • Schedule meetings and manage high-volume VPFA calendar/schedule
  • Monitor and order office supplies for Faculty Affairs and National Scholarship & Fellowships
  • Maintain Faculty Affairs Teams site, files and departmental email account
  • Supervise Faculty Affairs student employees and interns

Minimum Requirements

  • Bachelor’s degree in a related area or equivalent education and experience.
  • Three years work experience in project management, event planning, administrative support, or related experience
  • Experience with Microsoft Word, Excel and Outlook
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Coursework or certifications in project management
  • Experience working in higher education
  • Project management experience
