Purpose of Position

The mission of the College of Nursing & Professional Disciplines (CNPD) is to provide excellent and collaborative education, scholarship, and service to advance human well-being for all, with an emphasis on rural and underserved populations.

The mission of the Social Work department is to advance knowledge and learning, and to prepare competent, responsive and ethical social workers who empower vulnerable populations, promote social justice and are committed to serving diverse populations.

The CNPD is seeking an administrative assistant who will serve in the department of Social Work. The purpose of this position is to assist with the day-to-day functioning and accountability of the Department of Social Work and to assist with the efficient operation of the department. This position provides the department with administrative, general office and budgetary support. This position will help to maintain communication with students, alumni, faculty, staff and the greater campus community and general public. A focus on timely communication and high quality service to others is essential for this role.

Duties & Responsibilities

  • Provide Administrative Support
    • Assist with notification of faculty absences from campus
    • Provide administrative support for all department programs
    • Assist with training and supervision of student employees
    • Coordinate department events
    • Monitor the department website and submit necessary updates to the CNPD Marketing Coordinator. Assist with the management of department social media accounts
    • Manage semester course schedule including classroom scheduling
    • Manage the process of reviewing and awarding scholarship applications
    • Support application and review process for the department programs
    • Manage syllabi collection for the department
    • Analyze operating procedures and processes to ensure smooth coordination of administrative functions between department and college
    • Provide direct support of processes related to maintaining CSWE accreditation
    • Assist chair with resolution of problems or conflicts
    • Coordinate onboarding of faculty and field staff
    • Assist with departmental reports
  •  Provide General Office Support
    • Provide administrative support for faculty
    • Provide receptionist duties and general support for visitors and students
    • Maintain contact lists
    • Develop and maintain a filing system
    • Participate in department meetings; prepare and distribute minutes and materials
    • Order and maintain office supplies and equipment
    • Complete inventories of office equipment and keys
    • Produce and distribute correspondence
    • Compile and submit textbook requisitions
    • Establish and maintain records retention plan for the department according to UND policy
    • Monitor and manage department space
    • Serve as a resource to Social Work student organizations
    • Assist department leadership in maintaining department/program handbooks
    • Assist with the hiring process as needed
  •  Budget & Financial Management
    • Work with CNPD business office, accounting services, grant/contracts and alumni foundation to maintain departmental fiscal records and assist in preparing fiscal reports
    • Develop and maintain spreadsheets/records system for accurate accounting of Social Work operating funds and provide monthly reports to the department chair
    • Assist the department chair with annual budget development
    • Assist with departmental purchases; process purchase requisitions and vendor invoices; process payments and forward for approval
    • Maintain purchasing card for department purchases and process required statements monthly
  • Student Records
    • Create and maintain student files related to enrollment, current students and graduates
    • Assist with collection and submission of student documentation required for field placement

Minimum Requirements

  • Associates degree in business-related field OR equivalent experience
  • 4 years of related work experience
  • Experience with basic bookkeeping/accounting functions
  • Demonstrated proficiency in Microsoft Office software
  • Supervisory experience
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Event planning experience
  • Experience working in an academic department or academic setting
  • Experience with Blackboard, Campus Connection, HRMS
