  • $42,500+ Annual, Dependent on Experience, Non-Exempt (Eligible for overtime)
  • 40 hours per week - Tuesday - Saturday 1:30 pm-10:00 pm
  • This position will work onsite at UND Grand Forks, ND campus

Purpose of Position

The Event Setup Specialist serves an integral role within the Memorial Union department as a working supervisor. This position oversees and completes daily event setup and teardowns and provides onsite afternoon/evening management and supervision of event setup student employees. This position is responsible for daily cleaning of multiple meeting and event spaces including two ballroom event venues as well as efficient management of building equipment and storage spaces. This position provides extended departmental coverage as a full-time staff point of contact and also provides support for additional Memorial Union evening and weekend student staff.

Duties & Responsibilities

  • Normal work schedule for this position will be Tuesday through Saturday afternoon/evenings, 1:30PM to 10:00PM. Flexible exceptions to this schedule may be made to accommodate additional business and operational needs.
  • Supports, maintains, and facilitates programs and events with an emphasis on frontline operations, building user engagement and customer service, within Memorial Union-managed indoor and outdoor meeting and event spaces including two ballroom event venues.
  • Utilizes event planning software (e.g., Mazevo) to understand, interpret, assess and track completion of operational needs in support of daily and weekly events.
  • Oversees and completes the setup and breakdown of events within the Memorial Union, including but not limited to tables, chairs, risers, and staging.
  • Oversees and efficiently manages building equipment and storage spaces.
  • Participates in weekly Support Staff Event Management Coordination Meetings.
  • Serves as a staff point of contact and support for evening and weekend Memorial Union student employees.
  • Ensures event spaces are regularly maintained and cleaned in a timely manner flexing tasks around a frequently changing events schedule. Cleaning tasks include: trash removal, dusting, wiping and cleaning of furniture such as table surfaces, chairs, other fixed furniture; vacuuming, shampooing or sweeping floor surfaces; cleaning dry erase boards, art work, or other interior surfaces appropriate to each space such as wall finishes, window sills etc.
  • Troubleshoot equipment malfunctions, and work with the Assistant Director to determine and implement an equipment upgrade schedule and equipment maintenance schedule for all event-related equipment.
  • Monitor building occupancy data to assist in building-related operational decision making.
  • Perform other duties as assigned.
  • Student Employment Supervision
    • Serve as the direct supervisor of Memorial Union Event Setup Assistants.
    • Write and maintain job descriptions for direct reporting student positions and ensure all position descriptions incorporate student learning outcomes.
    • Interview, hire, train, evaluate, and terminate student employees. Oversee onboarding and exit interview processes for all students directly supervised.
    • Conduct unit orientation for new hires to include training on safety, security, and emergency procedures.
    • Coordinate student staff scheduling to meet expectations and ensure coverage for all event management and building coverage and operational needs to include daytime, evening, weekend shifts during the regular academic year, summer and holiday/break terms.
    • Motivate and develop student employees by providing ongoing positive and constructive feedback through frequent personal contact.
    • Coordinate and conduct meetings with student employees to foster communication and encourage participation in decision making processes.
    • Empower student employees to resolve problems by educating students on policies and procedures and ways to handle customer concerns and unacceptable customer behavior; handle difficult situations directly when they advance beyond the student’s capability.
    • Implementation/coordination of divisional student learning outcomes for student staff; Help student employees connect task accomplishment to learning outcomes in order to better prepare them for the workplace after graduation.
    • Coach and mentor students on ways they can gain greater responsibility (such as cross-training into other areas, attending Association of College Unions International (ACUI) conferences, attending leadership training, and advancing to student manager positions).
    • Provides department backup support or supervisory direction for other MU student staff as needed by exception (indirect supervisory support). 

Required Competencies

  • Intermediate skills using Microsoft Office Suite computer programs (Word, Excel, Outlook).
  • Demonstrated experience with critical thinking, problem-solving, organizational and written and oral communication skills.
  • Ability to work with minimal supervision and to understand and follow specific instructions and procedures.
  • Experience using standard office equipment to include multi-line phone systems, copiers, fax machines etc.
  • Ability to multi-task and work successfully in a fast-paced, high-energy, customer service setting with frequently changing deadlines.

Minimum Requirements

  • High school diploma or GED, and custodial experience.
  • Successful completion of a Criminal History Background Check.

Preferred Qualifications

  • Associate’s or Bachelor’s Degree.
  • Experience with event support, coordination and execution within a University, hospitality event management or related field.
  • Experience supervising, coaching, advising or mentoring student staff or volunteers within a University or other educational
    setting.
  • Experience with cleaning equipment.
