- This position will work onsite at UND Grand Forks, ND campus
Purpose of Position
This position exists to provide high level administrative and program management support for the Office of Research. This position will identify opportunities for process improvement/efficiencies in collaboration with team members and other SMHS departmental staff.
Duties & Responsibilities
Administrative Assistance to the Office of Research
- Maintain complex calendars, schedule appointments, and group meetings, as well as the Office of Research website
- Attend meetings, record minutes, prepare and disseminate materials from the Office of Research
- Represent the Office of Research by acting as the initial point of contact and responding to questions and requests for information while acting as a liaison between the Office of Research and other departments/units within the SMHS and UND
- Pay invoices and manage the budget and expenses for the Office of Research
- Track and process standard financial documents including travel through UND and the Foundation, including P-Card purchases
- Call-in work orders
- Order office equipment, supplies, and other items
- Ensure the P-Card monthly statements are processed and submitted timely
- Maintain office equipment including computers, printers, etc.
- Track journal and software subscriptions and memberships
Events and Projects
- Serve as program manager of all seed and special grant opportunities administered from the Office of Research
- Serve as program manager of grant writing and special workshops offered by the Office of Research
- Plan and coordinate special events in conjunction with the Office of Alumni and Community Relations
- Coordinate the Research Committee meetings and help manage Frank Low Research Day
Information Management
- Maintain a comprehensive database and dashboard of SMHS research and publication activity for the Office of Research
- Maintain a list of SMHS data management safety plans
- Maintain and manage the records management system for the Research Office
- Follow guidelines established by the Office of Records and Information Management for the creation, retention, and destruction of records
Required Competencies
- Knowledge of UND and SMHS administrative, travel, accounting, purchasing, human resource, and affirmative action policies, forms and procedures
- Ability to maintain confidentiality
- Demonstrated ability in meeting deadlines
- Ability to multi-task and prioritize assignments to consistently provide timely and accurate data and information
- Excellent interpersonal, oral, and written communication skills
- Ability to prioritize and organize work assignments for self and others; ability to work with diverse groups to accomplish the mission of the Office of Research and SMHS
Minimum Requirements
- Associate’s degree and 2 years of related experience working in an office setting or one year of college and three years of experience working in an office setting
- Experience with Word, Excel, PowerPoint, and Outlook Calendar
- Successful completion of a Criminal History Background Check

Preferred Qualifications
- Bachelor’s degree or five years’ related work experience in an administrative office setting
- Experience assisting with special events coordination
- Experience with data management and dashboarding software
- Experience with program management
