Job Summary/Basic Functions

We have an exciting opportunity to join our team as an IT Administrative Assistant. This position provides administrative support to the Chief Information Officer and serves as the primary office manager for the Division of Information Technology. This position coordinates scheduling, correspondence, communications, and budget tracking for the CIO and IT leadership team, and manages a wide range of administrative duties to ensure the smooth operation of the IT division. The Administrative Assistant also supports special projects, internal coordination, and cross-departmental communications. The role requires a high level of confidentiality, initiative, and technical competence.

Required KSAs/Competencies/Qualifications

  • Familiarity with IT terminology, systems, and tools (e.g., Jira, ServiceNow, or ITSM systems).
  • Understanding of basic IT procurement and inventory management.
  • Professional manner, excellent organizational and interpersonal skills, and the ability to work with diverse populations and constituents.
  • Demonstrates an ability to proof, edit, and write concisely and articulately.
  • Proficiency with Microsoft Office; must be detail-oriented and able to manipulate Excel tables utilizing formulas and data functions.
  • Ability to easily learn and experiment with new software and technology.
  • Ability to handle highly confidential information in a discreet and courteous manner.

 

Required Experience:

  • Experience working in a technology-focused or service-oriented environment.
  • Experience supporting technical teams or managing complex scheduling across multiple stakeholders.
  • Previous administrative experience or relevant experience working in a service-oriented field with transferable skills.
  • Bookkeeping experience or employment working with and manipulating financial or client data.
  • Experience working with confidential information.
  • Experience managing multiple and complex projects, meeting deadlines, adapting to changing priorities and needs.
  • Experience composing, proofing, and editing correspondence and publications.

  • Working knowledge of budgeting and accounting principles.

EDUCATION

  • Bachelor's degree or equivalent training and experience.


Experience

  • Prior experience working for a non-profit organization, preferably in higher education.
  • Prior experience in a project environment.
  • Experience with state purchasing/eVA
  • Proficiency with Microsoft Office 365, Teams.


LICENSURE/CERTIFICATION

  • Certification in MS Office products
