Department Summary: RecWell provides a broad range of programs and services that support the well-being of our VCU community, including group exercise, outdoor adventure, intramural sports, personal training, aquatics, employment opportunities, and much more. RecWell educates and provides outreach on health topics that impact student well-being, including publication of the popular Stall Seat Journal.

Duties & Responsibilities:

The Facility Operations Coordinator assists in the management and administration of day-to-day operations at the Cary Street Gym and MCV Campus Recreation Center, including oversight of the service desk, equipment checkout, and fitness center, and is responsible for access control and lost & found. This position assists in a wide variety of administrative and supervisory duties in the areas of personnel, facility operations, risk management, policy and procedures enforcement, purchasing, program management, and statistical data collection and reporting. The Facility Operations Coordinator directly supervises and provides leadership to Facility Operations Attendants, assists in supervising the Facility Managers, and reports to the Assistant Director for Operations & Aquatics.

 

Personnel Management:

  • Recruit, hire, train, schedule, supervise, develop and evaluate all employees including Facility Operations Attendants and Facility Managers. 

  • Effectively communicate department, Division, and University mission, vision, values, and goals to staff.

  • Create an environment promoting and fostering student learning and development, and establish a staff culture that supports the Recreation & Well-Being mission and values.  

  • Ensure consistent and quality service standards are met.

  • Regularly monitor staff time and verify payroll.  

  • Revise employee training materials and operating manuals annually.

  • Ensure compliance with all departmental and University guidelines and policies.

  • Ensure staff have the appropriate certifications and training to respond to emergencies. 

  • Assist in providing an effective risk management plan for Facility Operations Attendants that includes training of student staff, completing regular safety reviews, emergency procedure development, and appropriate documentation.

Facility Management:

  • Manage daily operations at the Cary St. Gym and MCV Campus Recreation Center, including supervision, risk management, policy enforcement, and reporting of maintenance/housekeeping concerns.

  • Manage access control for all RecWell Facilities and staff. 

  • Manage Lost and Found for all RecWell Facilities. 

  • Manage open recreation and rental equipment at all Recreation & Well-Being facilities, including procurement, inventory management, and checkout and rental procedures. 

  • Create a culture of customer service for the facility operations staff. 

  • Submit marketing requests to inform members of Recreation & Well-Being policies and procedures.

  • Assist in resolving participant conduct problems according to department guidelines. 

  • Serve as part of the onsite/oncall team, providing regular evening and weekend supervisory support.

  • Assist with conducting regular safety inspections of activities, facilities, and equipment and report work order needs to the appropriate person.

Fiscal/Statistical/Database/Equipment Management:

  • Participate in the departmental budget allocation process by forecasting projected expenditures, identifying long-term capital improvement projects, and setting revenue projections for all programming areas.

  • Monitor the annual budgets for programming areas, including projecting operational needs, approving purchases, and monitoring spending.  

  • Establish and meet revenue goals for towel revenue, facility rentals and equipment rentals.  

  • Prepare, analyze and report participation statistics, and assist with program evaluations and assessments in areas of responsibility.  

  • Conduct regular equipment inventories.  

  • Assist in long-range fiscal planning.

General Administration:

  • Collaborate with campus partners within the Division of Student Affairs and academic units to develop and implement programs and events that contribute to student success.

  • Serve as the departmental liaison with key internal and external partners and academic units, as well as serve on various external committees within the institution and professional organizations. 

  • Assist with articulating the vision for the department.

  • Serve on Recreation & Well-Being committees and work teams. 

  • Investigate new and emerging trends and explore opportunities for growth within recreational programming.

  • Maintain professional skill sets and certifications as appropriate for job responsibilities and as a professional.

  • Perform other duties as assigned by the Director or Supervisor.

Qualifications:

Minimum Qualifications

  • Bachelor’s degree (or relevant professional experience); prefer degree in recreation, physical education or related field.
  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.
  • Two (2) years of experience in a position requiring similar responsibilities. Time spent working as a graduate assistant or paraprofessional may be counted toward this requirement.

  • Demonstrated experience in all aspects of personnel management and staff development; ability to motivate and supervise staff.

  • Demonstrated administrative skills in: budget development and fiscal/statistical management; planning, implementing and evaluating programs; risk management.

  • Ability to take initiative, problem solve and meet deadlines.

  • Excellent written and oral communication skills, interpersonal skills and ability to work collaboratively.

Preferred Qualifications

  • Master's degree; prefer degree in recreation or related field.

  • Experience working in a campus recreation setting. 

  • CPR/AED/First Aid for the Professional Rescuer Certified (will be provided by the department if not currently certified).

  • CPR for the Professional Rescuer Instructor certified. 

  • Ability to function independently and as a member of a team in a constantly changing environment.

  • Experience working with Innosoft Fusion Software.

  • Experience working with EMS Facility Reservation Software. 

  • Experience working with WhenToWork Scheduling Software.

Salary Range: $48,000-$52,000
