Duties & Responsibilities:

The Perinatal Access Program Coordinator works to reduce administrative barriers to the healthcare system for VCUHS Hispanic pregnant patients, and non-Hispanic non-English speaking pregnant patients by assisting the patients in their native language during the Medicaid process and applying Medicaid policy to ensure the Medicaid applications are processed correctly and in a timely manner by the local Department of Social Services and Cover Virginia. The bilingual Coordinator runs a daily EPIC report of scheduled OBGYN appointments and the Emergency Department, check uninsured pregnant patients’ eligibility in the Medicaid web portal (MES) and contacts them to complete the Medicaid application if no coverage is found. Referrals are received from Community Health Providers, VCUHS Women’s Health nurses, social workers, financial services department and patients directly contacting the PAP team. Patients and their household members are screened for Medicaid eligibility, verifications obtained from the patients, the Medicaid application submitted online via Commonhelpva, regular follow-up provided to ensure the application is processed timely and correctly, including email/phone communication with Cover Virginia and Medicaid eligibility workers at the local Department of Social Services, completion of Spenddown applications and appeal submittal, if needed, the application approval provided to the patients and VCUHS financial services department. The PAP Coordinator runs a daily EPIC report of Labor & Delivery and ensures the babies are enrolled to Medicaid shortly after their birth. The PAP Coordinator corrects the patients’ demographics in EPIC if an error occurred during the patients’ registration process and contacts VCUHS HIM-index to request patient’s medical record numbers to be merged when there are duplicates. The PAP Coordinator serves as bilingual Spanish/English interpreter and translator and acts as intermediary with VCUHS billing department. Advocates for patients during challenging situations such as unpaid bills sent to collections, applications for social security disability benefits, obtaining birth certificates and social security cards, and direct patients to services for domestic violence, perinatal loss, child’s developmental delay, child support enforcement, etc. Additionally, the PAP Coordinator provides community resources such as local food banks, legal aid and information regarding the WIC nutritional program, SNAP and TANF programs, and emergency services offered by the local Department of Social Services and 211. The PAP Coordinator sends referral to VCUHS OBGYN social worker, if additional assistance is needed.

Qualifications:

Minimum Qualifications

  • Excellent communication skills

  • Proficiency in Spanish and English oral and written communication.

  • Organizational skills, ability to set goals, juggle priorities, manage time and meet deadlines.

  • Must be flexible and available to communicate with patients after hours on an as-needed basis.

  • Maintain confidentiality of patient information. Self-motivated, able to work independently and as part of a team.

  • Exercise judgment in work settings and assures appropriate action is taken to assist patients, VCU/VCUHS staff and community partners.

  • Experience with patient interviewing and basic medical terminology.

  • Must have valid driver’s license.

  • High school graduate or equivalent

  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Experience and knowledge of the Virginia Medicaid program and policy to determine correct eligibility
  • Experience dealing with local Departments of Social Services, Cover Virginia and the Department of Medical Assistance Services (DMAS) and knowledge of their processes.

Salary Range: $42,000-$47,000, Commensurate with experience
