Department Summary: CPSD is an affordable, community-based mental health clinic. Our therapists enjoy helping people find ways to face challenges, such as problems in parenting, minority-related stress or adjusting to being away from home for the first time.

Duties & Responsibilities:

The CPSD Administrative Specialist supports the mission of the CPSD, under the direct supervision of the CPSD Operations Manager, to provide general monitoring of the reception area and provides assistance to the public, staff/faculty, and doctoral practicum students as the first point of contact for the clinic. Specifically, the CPSD Administrative Specialist is responsible for responding to general inquiries; answering the central telephone and email; collecting payments; processing confidential paperwork, applications, and client agreements; creating and verifying purchase requisitions to meet the clinic’s operational and educational needs; monitoring and coordinating maintenance requests for standard office equipment; maintaining reception and treatment rooms to provide a safe and welcoming environment; assisting with keeping and maintaining an inventory of all CPSD and administrative office supplies; and completing special assignments delegated by the CPSD leadership team.

Qualifications:

Minimum Qualifications

• A minimum of a high school diploma with at least two (2) years of performing a variety of administrative and office work, including substantial experience in public contact.
• Proficiency using Microsoft Office suite and Google Workspace.
• Outstanding organization skills and attention to detail.
• Exceptional interpersonal and written communication skills.
• Ability to work independently with minimal supervision.
• Demonstrated ability to apply organizational policies and procedures to ensure compliance with operational policies.
• Demonstrated ability to exercise discretion, cultural sensitivity and sound judgment.
• Experience working with diverse populations and fostering an environment that values diversity and inclusion.
• Previous experience working in customer service environment and/or healthcare setting.

Preferred Qualifications

• Working knowledge of HIPAA/FERPA requirements for patient/student confidentiality, or a commitment to maintain client confidentiality and willingness to learn and adhere to HIPAA laws and FERPA requirements.
• Demonstrated ability to reconcile revenue and expense accounts.
• Previous experience with bookkeeping.
• Demonstrated ability to work with electronic medical/health records software; or willingness to learn.
• Previous experience working with accounting and procurement systems.
• Bilingual Spanish proficiency.

Salary Range: $21.00
