This position is responsible for providing exceptional customer service to faculty, staff, students, university leadership, and visitors while supporting the daily administrative operations of the Dean’s Suite. The role requires professionalism, strong organizational skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment. The position operates with moderate independence while maintaining close coordination with the Dean’s Office administrative team.

Position Responsibilities:

This position serves as the primary receptionist and greeter for the Dean’s Suite, welcoming visitors and directing inquiries appropriately. Answer and route incoming phone calls and respond to general inquiries in a professional and courteous manner. Coordinate conference room and meeting space reservations for the Dean’s Suite and related events. Schedule and coordinate lunches, catering, and hospitality arrangements for meetings and special events. Assist with scheduling meetings, appointments, and calendar coordination for Dean’s Office activities.
Maintain shared calendars and ensure meeting spaces are properly prepared and equipped. Provide administrative support for Dean’s Office events, meetings, and special projects. Assist with ordering office supplies and maintaining organized reception and common areas.
Support travel logistics and visitor coordination as needed. Maintain professionalism and confidentiality while interacting with internal and external stakeholders. Perform other duties as assigned.

Required Qualifications:

  • High School diploma or GED and up to 1 year of relevant administrative, receptionist, customer service, or office support experience, or an equivalent combination of education, training, and experience.
  • Demonstrated experience in a receptionist, customer service, or administrative support role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent oral, written, and interpersonal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Drive, Calendar).
  • Ability to prioritize tasks, manage competing deadlines, and work independently.
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications:

  • Associate’s degree.
  • Experience in a higher education or academic environment.
  • Experience in healthcare or dental experience.
  • Experience coordinating meetings, events, catering, or hospitality services.
  • Knowledge of university scheduling systems, policies, and procedures.
  • Experience supporting executive or administrative office operations.

Salary Range: $26,562 - $40,700
