Duties & Responsibilities:

The VCUarts Dean’s Office Coordinator will serve as a knowledgeable primary point of contact for a wide range of students, parents, faculty, staff, administrators, and guests. This position will be the initial contact and resource at the front desk in the Dean’s Office, both by phone and in-person. This position is expected to reflect the professionalism of the office in all interactions with all constituency groups.

This position provides day-to-day operational support for the Dean’s Office and all component entities (Academic Affairs, Admissions, Communications, Faculty Affairs, Research, Student Affairs, etc.) The Dean’s Office Coordinator will also provide administrative support to a variety of functional areas in the Dean’s Office. This could include supporting Finance, Human Resources, and Operations (Facilities), on a wide variety of tasks. Additionally, this position will provide administrative support to the Dean and the Dean’s leadership team as needed. The Dean’s Office Coordinator reports directly to and is the primary support for the Executive Assistant to the Dean. It is expected that this position will work, on average, 29 hours per week. This schedule could fluctuate based on the needs of the Dean’s Office.

Position Responsibilities:

  • Greets visitors as in-person first-point-of-contact at the Dean's Office front desk 

  • Responsible for answering the main VCUarts phone line; answers and directs calls appropriately

  • Responds to general inquiry emails and directs follow up appropriately  

  • Accepts and sorts incoming Pollak Building mail and shipments

  • Coordinates shipments to the VCUarts Qatar campus

  • Monitors Dean's Office supplies and submits supply orders when needed

  • Coordinates schedule for conference rooms in the Pollak Building 

  • Responsible for Dean’s Office records management

Qualifications:

Minimum Qualifications

  • 1-3 years of administrative, office coordination, customer service or related professional experience

  • Exceptional communication skills, including listening, writing, and speaking skills

  • Excellent customer service skills and interpersonal skills

  • Advanced knowledge of Google Workspace, Microsoft Office programs and Zoom.

  • Ability to function in a fast-paced, complex work environment, prioritize work, stay organized, and handle multiple priorities simultaneously

  • Ability to pay attention to detail, be proactive, solve problems independently and use available resources to follow through on tasks

  • Ability to understand and comply with University, State, and school policies, procedures, and guidelines

  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU

Preferred Qualifications

  • Graduation from an accredited college or university with a bachelor’s degree in the arts or design or a closely related field or an equivalent combination of education, training, and related professional experience

  • Experience with appropriate online ordering/payment systems

Salary Range: $23-$25/hour
