About this Position
The Associate Registrar supports the mission of the Registrar’s Office by ensuring the accuracy, privacy, and security of all academic records and delivering high-quality, student-centered service. Reporting directly to the Registrar, this role provides operational leadership and assists in the planning, execution, and monitoring of policies and procedures related to registration, academic progress, graduation, and academic records. The Associate Registrar also plays a key role in training faculty and staff, maintaining critical systems such as the academic catalog and degree audit tools, and coordinating graduation-related services and events.
Essential Duties & Responsibilities

Support and represent the Office of the Registrar in internal and external matters, as delegated.

Post degrees, order diplomas, and review graduation applications to ensure all requirements are met.

Compile and verify commencement lists for final approval.

Process graduation verifications and General Education/Major Degree reviews, including supporting documentation (e.g., course substitutions).

Collaborate with Deans, Department Chairs, and Academic Advisors on degree completion reviews.

Maintain and update Degree Works and manage the Degree Works email account.

Submit VA Certifications and serve as the University’s VA School Certifying Official.

Assist with maintenance of transfer equivalency tables and student transfer credit evaluations.

Coordinate and update the academic calendar, final exam schedule, university catalog, and Registrar website content.

Oversee residency classifications for in-state tuition compliance per State Regents policy.

Train faculty on online registration and access to the Student Information System (SIS).

Supervise and mentor student workers; track employee leave schedules.

Interpret and communicate academic policies relevant to the Registrar's Office.

Draft, proof, and edit office forms, letters, and official publications.

Organize and coordinate the graduation ceremony and senior-related activities.

Participate in professional development and staff training.

Perform other duties and special projects as assigned.
Required Qualifications
- Bachelor's
- Degree from an accredited institution
- Minimum of three (3) years of professional experience in higher education administration.
Skills, Proficiencies, and/or Knowledge:

Proficient in Microsoft Office 365 (Word, Excel, Outlook, etc.) and student information systems.

Strong written and verbal communication skills.

Excellent organizational skills with the ability to manage multiple tasks and deadlines.

Demonstrated ability to provide high-quality customer service to diverse stakeholders.

High level of professionalism, integrity, and commitment to accuracy and detail.

Adaptability and willingness to embrace institutional changes and continuous improvement.

Knowledge of FERPA, state residency regulations, and academic record-keeping standards.

Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications
- Master's
- Higher education, student affairs, or a related field.

Prior supervisory experience.

Experience with student record systems such as Banner and degree audit tools like Degree Works.

Familiarity with VA policies and certification procedures.
