Work Schedule: Monday – Friday, 8:00 a.m. to 5:00 p.m.

Position Introduction:

Performs support-oriented job duties to a Department Head or Manager. Duties are complex and of an advanced nature, to include but not limited to maintaining files, scheduling appointments, managing inventory, typing, preparing reports and correspondence, distributing information, conducting research and computation, managing office procedures, assisting with budget preparation, and coordinating activities. Serves as a resource to other support personnel.

Typical Functions May Include:

  • Frontline greeter for all VPRP visitors on the main floor, answers the main phone line, and opens/distributes the mail. 70%
  • Open and close the office, including but not limited to: make coffee, dispose of trash, run the dishwasher, put away clean dishes, maintain a clean kitchen area. 20%
  • Perform other administrative support tasks, including updating and sorting files, drafting, and proofreading correspondence, and seeking additional information when needed, and ordering office supplies as needed, and maintaining the supply room. 10%

Required Education and Experience:

  • High School Diploma or GED
  • 36 months administrative support experience

Skills:

  • Proficient in Microsoft Office, Zoom, and other frequently used document sharing applications such as SharePoint.
  • Punctuality and attention to detail.
  • Highly organized and able to handle multiple projects and deadlines
  • Able to communicate clearly and effectively, and build rapport quickly with students, faculty, and staff
  • Able to produce reports and complete work within deadlines
  • Strong initiative to solve problems
  • Customer service
  • Advanced office skills such as multi-line phone, copying, filing, faxing, and mail;
  • Ability to work both independently and with interdepartmental teams on various initiatives
  • Must have proficient professional writing skills for drafting correspondence, summaries, and other documents
  • Highly motivated

Department Preferences:

  • Previous OU experience
  • Previous experience managing multiple projects
