Position Introduction:

The Office of the Registrar serves as the central hub for academic administration at OU. The office maintains the integrity, accuracy, and confidentiality of all student academic records and provides essential services such as course registration, degree navigation, classroom scheduling, academic calendar coordination, transcript evaluation, diploma production and FERPA compliance that support students, faculty, and academic units across the institution. Essential Duties:

  • Primary liaison with the Office of Legal Counsel and the Senior Associate Athletics Director for Academic Affairs.
  • Interface and serve as liaison for the Office of the Registrar with the Director of Training and Development in the Division of Enrollment Management.
  • Maintain FERPA compliance and provide FERPA training to individuals and departments; develop on-going training as needed.
  • Manage every aspect of FERPA breaches, including coordinating with campus departments to draft and mail breach letters, contacting involved parties, maintaining detailed documentation of breaches, and working with departments to prevent future breaches.
  • Responsible for athletic certifications for various sports requiring consistent and open communication with Athletic Academic Counselors, Athletic Compliance, and Campus staff to uphold institutional, SEC, and NCAA guidelines.
  • Receive, assess, and grant requests for access to student records, to include analyzing each request to ensure employees are given only the access required for their job duties.
  • Performs other duties as assigned to ensure the overall successful operation of the department.

Required Education and Experience:

  • Bachelor's degree.
  • 24 months experience as a manager in an Accounting, Finance, or Business Office.

Equivalence/Substitution:  Will accept 48 months related experience in lieu of the Bachelor's degree for a total of 72 months related experience.  

Department Preferences:

  • Master's degree, experience in higher education enrollment, records or related fields
  • Experience with student information systems, preferably Banner, OU student systems
  • Knowledge of FERPA and NCAA policies
