About the Role:

Join Melbourne Water as an Executive Assistant and play a pivotal role supporting an Executive General Manager in a dynamic, fast-paced environment. This is a high-impact position where you'll coordinate executive priorities, manage key stakeholder relationships, support governance and reporting activities, and help drive strategic outcomes across the organisation.

  • Deliver high-level administrative and operational support to the Executive General Manager (EGM), ensuring priorities, commitments, and strategic objectives are effectively managed
  • Coordinate schedules, meetings, briefing materials, correspondence, and competing priorities while proactively identifying and actioning critical tasks on behalf of the EGM
  • Prepare and manage Board and Sub-Committee papers, portfolio reporting, leadership governance meetings, and key organisational deliverables within required timeframes
  • Act as a key liaison between Executive Leadership, internal teams, external partners, and customers, fostering strong relationships and supporting strategic outcomes
  • Identify, coordinate, and progress key work initiatives, support delegated authority processes, and implement improvements to enhance the efficiency and effectiveness of the portfolio

This role is a trusted partner to the Executive General Manager, responsible for managing executive priorities, coordinating governance and reporting, building influential stakeholder relationships, driving portfolio effectiveness, and ensuring the smooth operation of executive leadership activities across Melbourne Water.

About you:

This role will suit a highly organised, proactive and confident professional who enjoys working at the heart of a busy executive environment. You are a natural relationship builder who can anticipate needs, manage competing priorities, and operate with discretion when handling sensitive information. You take ownership, work independently, and are comfortable engaging with senior leaders while maintaining a strong focus on delivering outcomes.

Key responsibilities and skills we are seeking:

  • Proven experience providing high-quality executive support to senior leaders, managing complex priorities, correspondence, meetings, and executive workflows.
  • Strong written and verbal communication skills, with the ability to prepare professional correspondence, reports, presentations, and briefing materials.
  • Ability to build trusted relationships across all levels of an organisation and work effectively with internal and external stakeholders.
  • Highly developed organisational skills with the ability to manage competing priorities, coordinate complex work programs, and deliver outcomes within tight timeframes.
  • Demonstrated ability to exercise sound judgement, handle confidential information with discretion, and remain adaptable in a fast-paced environment.
  • Advanced Microsoft Office skills and the ability to identify and implement process improvements that enhance efficiency and effectiveness.
  • Demonstrated experience providing high-quality executive support at a senior level.
  • Qualifications in Business, Project Management, or a related discipline will be highly regarded.
