The Project 

Queensland Government-owned corporation, Sunwater is planning for the construction of a new dam wall immediately downstream from the existing Paradise Dam on the Burnett River.

The project is a large, multi-year project that will ensure a safe and secure water supply for the Bundaberg region for future generations.

This role is part of the Paradise Alliance, formed by Sunwater to deliver the Paradise Dam Improvement Project, with CPB Contractors / Georgiou appointed as major construction partner and GHD as the ongoing design partner.

Your Opportunity

  • The Personal Assistant will primarily provide administration support to the Alliance Manager and Alliance Management Team (AMT) however the role will also support the broader PDIP team to ensure the Project’s collective success
  • The Personal Assistant will perform a range of tasks to ensure smooth running of PDIP (Paradise Dam Improvement Project)
  • The Personal Assistant will act as a point of contact between the Project Team, Participant companies, Sunwater, the Alliance Leadership Team (ALT), and the Project stakeholders
  • Provide comprehensive calendar support, prioritising engagements and ensuring smooth communication across internal and external PDIP stakeholders
  • Handle scheduling, minute-taking, and follow-up actions for meetings – including AMT, ALT, Sunwater, external stakeholder and PDIP Manager meetings
  • Administer finance processes as required including – organising travel overseeing purchase orders, invoices, and expense claims, ensuring accuracy and compliance with PDIP/Participant Company procedures/policies
  • Assist in preparing and submitting papers for the ALT and Sunwater, including but not limited to reports, presentations, technical papers, and ALT approvals
  • Assist in the preparation of PDIP documents including letters, policies, papers, guidelines, presentations, management plans
  • Registering and overseeing incoming and outgoing correspondence and documentation
  • Actively liaise / build strong relationships and networks with client, Alliance project team, subcontractors and suppliers
  • Ensure compliance with all relevant legal and regulatory requirements and all relevant Company and Group policies and processes.

Our minimum requirements for this role are:

  • High School certificate
  • Previous experience in the construction and/or mining industry is highly desirable
  • Relevant Secretarial qualifications and/or proven experience as a Personal Assistant (5-10 years) preferably supporting senior management
  • Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and collaborative tools such as SharePoint and/or OneDrive for Office 365
  • Proven experience in report writing (including layout and formatting)
  • Exceptional verbal and written communication skills, with the ability to tailor messages to different audiences
  • A deep understanding of how various groups and strategic leaders interrelate, coupled with a high emotional intelligence to influence stakeholders in support of Project goals
  • Strong multitasking abilities, exceptional time management, and maintaining confidentiality.

Note this role will initially be based in our Alliance office in Brisbane but will transition to a full time, site-based basis. You must be willing to work on site either FIFO or DIDO
