About North East Link

The Spark Consortium has been selected to deliver the Central Package of the North East Link Project - Victoria's biggest road project.

The Spark Consortium’s Design and Construction Contractor - which comprises Webuild, CPB Contractors, GS Engineering and Construction and China Construction Oceania - will deliver the twin three-lane tunnels and key interchanges for the project.

The Central Package will be delivered as a Public Private Partnership and provides three-lane twin tunnels that will close the missing link in Melbourne’s freeway network from the M80 Ring Road to an upgraded Eastern Freeway, reducing journey times and diverting heavy vehicles away from local roads. Up to 135,000 vehicles will use North East Link every day, reducing congestion in the north-east while maintaining local roads.

About the opportunity

If you thrive in a fast-paced environment and have an eye for precision, this role is tailor-made for you! We have an exciting opportunity for a Construction Site Administrator to join us on the North East Link Project to provide our tunnels team with ongoing administrative and day to day support.

You will play a pivotal role in providing administrative support, which may include managing the day-to-day activities of team, inclusive of diary management/scheduling, workforce management to name a few. Assistance may also be required in client relationship management including, events, and management meetings. 

Please note this role is full time role based at one of our site Offices in Manningham with limited access to public transport therefore it will be an essential requirement of the role to have your own vehicle. 

This role will be accountable for:

  • Point of contact for IT for any office issues –(e.g, printer)
  • Ordering consumables for our various site offices and liaising with suppliers.
  • Ordering consumables for Peggy’s for all 2 SEM site offices
  • Manage seating plans for SEM site offices
  • Approval of invoices through Kofax
  • Reconciling invoices
  • Tracking labour hire authority forms for 2 SEM site offices
  • Virtual super docket tracking/super user access for docket/day labour tracking across both SEM sites
  • Procuring quotes & raising purchase orders
  • Cost tracking
  • Site set up and management – assisting in procurement of goods needed for the offices/bathhouses & pre starts
  • Organise social events for SEM team
  • Ordering catering when required
  • Book travel for staff
  • Managing access control to both offices and bathhouses at SEM site offices – point of contact for any issues with doors

Workforce logistics;

  • Point of contact for the laundry to assist in uniforms being tagged & delivered back to site
  • Point of contact for workforce for any missing/damaged uniforms and support with IT issues
  • Track workforce weekly hours
  • Working with safety team to keep uniforms replenished in PPE room
  • Assisting with workforce UKG timesheets & liaising with HR & payroll for any amendments
  • Work with foreman’s & superintendents for any changes to rosters/sites

Minimum requirements for this role include the following:

  • Drivers license
  • Previous administration experience within a construction, resources, or industry environment is desirable 
  • Proficient use of Microsoft Word, Excel and PowerPoint.
  • Strong organisational skills and ability to work in a fast-paced environment.
  • Clear written and verbal communication skills.
  • Ability to work to deadlines and manage conflicting priorities in a high-volume work environment
