The Project

HumeLink is a new 500kV transmission project which will connect Wagga Wagga, Maragle and Bannaby in regional NSW that will significantly increase the capacity of the electricity network in Australia’s eastern states. HumeLink is one of Australia’s largest energy infrastructure projects, with about 365kms of proposed new transmission lines and a range of other new and upgraded infrastructure.

Your opportunity

To support the Project Director and wider team in fulfilling their operational and strategic objectives by providing effective and efficient administration support including records management, data entry, accounts/invoices, purchasing, procurement, communications, and meeting/event logistics:

  • Demonstrated ability dealing with sensitive and confidential issues
  • Maintain confidentiality related to sensitive communications
  • Managing and overseeing incoming and outgoing correspondence, email and documentation and phone calls
  • Maintain awareness of correspondence status and proactively follow up actions with relevant stakeholders
  • Preparing relevant documentation including assisting with the formatting/typing of correspondence, submissions, papers, agendas and presentations
  • Ensuring all prepared material, documentation and correspondence is dealt with according to relevant procedures such as the Management System
  • Organise events relevant to the team and to allocated budgets
  • The provision of effective diary management to ensure optimal time management
  • Administer and minute key meetings and upload into relevant system
  • Organising meetings, functions and conferences as required, internally and externally
  • Organise and promote engagement initiatives for the project
  • Organising domestic and international travel/accommodation bookings
  • Contribute to projects and activities as appropriate for the team e.g. project coordination, research, presentation and communication support and day-to-day operational activities
  • Be well-organised and flexible, in order to respond to urgent requests and tight deadlines
  • Develop an understanding of construction methodology by attending site events (pre-starts, Toolboxes)
  • Actively promote the HumeLink Guiding Principles and link performance objectives to these Principles during the performance review process
  • Actively promote the reward and recognition program, seek out and refer nominations for people who embrace the HumeLink Guiding Principles when they exceed expectations in delivery.

Our minimum requirements for this role are:

  • Relevant Secretarial qualifications and/or proven experience as a Personal Assistant (5-10 years) preferably supporting senior management
  • Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and collaborative tools such as SharePoint and/or OneDrive for Office 365
  • Proven experience in report writing (including layout and formatting)
  • Exceptional verbal and written communication skills, with the ability to tailor messages to different audiences
  • A deep understanding of how various groups and strategic leaders interrelate, coupled with a high emotional intelligence to influence stakeholders in support of Project goals
  • Strong multitasking abilities, exceptional time management, and maintaining confidentiality.
