The M6 Stage 1 Project is a major road infrastructure development that will provide a crucial motorway connection in Sydney, improving network efficiency, reducing congestion, and enhancing connectivity across the region. As construction progresses, we are seeking talented professionals to join our project team and contribute to the successful delivery of this landmark project.

Personal Assistant

We are currently seeking an experienced Personal Assistant to provide high-level administrative and organisational support to the Project Director and wider leadership team on the M6 Stage 1 Project. This role is critical in ensuring the efficient operation of project leadership activities while maintaining exceptional standards of professionalism, confidentiality, and stakeholder engagement.

Responsibilities Include:

  • Managing the day-to-day activities and administrative requirements of the Project Director.
  • Coordinating complex calendars, scheduling meetings, and managing diary commitments across multiple stakeholders.
  • Monitoring, prioritising, and responding to communications in a timely and professional manner.
  • Preparing, formatting, and maintaining project documentation, correspondence, reports, presentations, and briefing papers.
  • Coordinating internal and external meetings, including agenda preparation, minute taking, action tracking, and distribution of meeting outcomes.
  • Arranging travel, accommodation, and logistical requirements for project personnel as required.
  • Liaising with clients, consultants, subcontractors, suppliers, and other stakeholders while providing a high level of customer service.
  • Managing sensitive and confidential information with discretion and professionalism.
  • Assisting with project events, team functions, leadership workshops, and stakeholder engagement activities within approved budgets.
  • Supporting broader office administration activities to ensure the smooth operation of the project team.
  • Maintaining filing systems, records management processes, and document control practices in accordance with project requirements.
  • Building strong working relationships across the project and fostering a collaborative team environment.

To Be Successful in This Role, You Will Have:

  • Certificate III, Certificate IV, or higher qualification in Business Administration or a related discipline (desirable).
  • Minimum 8-10 years' experience in an administrative, executive assistant, or personal assistant capacity within a professional environment.
  • Demonstrated experience providing support to senior executives, Project Directors, or leadership teams on major infrastructure, construction, engineering, or corporate projects.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Exceptional organisational and time management skills, with the ability to manage competing priorities and deadlines.
  • Strong written and verbal communication skills with excellent attention to detail.
  • A proactive, flexible, and solutions-focused approach.
  • High levels of professionalism, discretion, and confidentiality.
  • The ability to build trusted relationships with internal and external stakeholders at all levels.
