Our Coal business is a cornerstone of this success, and we're looking for a proactive, trusted and highly capable Executive Administrator to support the General Manager Operations - Central Queensland Coal Network (CQCN) and other senior leaders as required.
This is an exciting opportunity to step into a fast-paced, high-visibility role where you’ll be at the centre of operations, helping ensure The GM and the CQCN Operations run smoothly and professionally. Occasional travel to regional depots will be required to support operational and stakeholder activities.
About the role:
In this pivotal role, you’ll deliver confidential, efficient and high-level executive and administrative support, coordinating a wide range of administrative, operational and stakeholder-facing activities. From diary management and reporting to supporting depot engagement, you’ll be the trusted go-to for the GM and other senior leaders within the Coal business.
Key responsibilities include:
- Oversee day-to-day administration and provide professional office management support.
- Provide high-level executive support to the GM Operations - CQCN and other executives as required.
- Prepare high-quality reports, presentations, documents, spreadsheets and correspondence for the executive and the Board.
- Coordinate complex diaries, meetings, travel, conferences and stakeholder engagements.
- Professionally liaise with Executives, the Board, government officials, union representatives and business leaders.
- Support the coordination of operational meetings, forums and site-based engagements across the CQCN network.
- Analyse and improve systems, workflows and business processes.
- Maintain effective office management systems, monitoring outcomes and ensuring timely follow-up.
- Provide meeting support including agenda preparation, minute-taking and action tracking.
- Identify matters requiring Executive attention and manage follow-through to completion.
- Work with Aurizon’s travel management team to coordinate travel for the three GM’s
- Coordinate activities across the broader business unit as required.

About You:
You’re organised, adaptable, and thrive in a role where no two days look the same. You’re confident navigating complex stakeholder environments, balancing competing priorities, and maintaining confidentiality at all times.
You will bring:
- Minimum 3 years’ experience in administrative support roles
- Proven ability to support senior leaders or executives
- Exceptional planning, coordination and time management skills
- Strong written and verbal communication skills with the ability to influence and negotiate
- Advanced problem solving, research and decision-making capability
- High proficiency across Microsoft Office, Microsoft 365 and SAP (or similar systems), digital workflow tools & collaboration and enterprise communication tools
- Ability to work both independently and collaboratively
- A proactive, professional approach with strong ethical and commercial judgement
- Working knowledge of HR, budgeting, financial processes, safety, legal compliance and business planning
