Normal Work Schedule: Flexible; Sunday - Friday 11:00 am till 11:00 pm, some Saturdays.


Job Summary: The Event Assistants/Conference Coordinators works alongside the Greek Assembly Building Managers to ensure that events are set up and ready to meet client’s expectations for their scheduled events. Sets up and takes down tables and chairs based off the daily event sheet/calendar. Places tablecloths on tables. The position is to be present at the information desk at Greek Assembly Hall and provide quality customer service to students, clients, or visitors that approach with inquiries. Answers questions via telephone and in person. Collects, logs, and stores lost and found items properly in the office. Maintains cleanliness and upholds standards. Communicates with housekeeping, building managers, and professional staff. Learns Greek Assembly Hall policies, procedures, and operations of the facility. Learns Greek Assembly Hall rules and job expectations. Knowledge of the different room orientations and equipment available. Learns basic emergency procedures. Maintains proper appearance and attire to represent the Greek Assembly Hall. Presents an overall engaging and friendly presence for the guests at Greek Assembly Hall and refrains from wearing earbuds/headphones to distract from assisting guests.


Additional Department Summary: The Event Assistant is there to help people, answer questions, give directions, and assist in any way possible. If the answer is not known right away that student will do their best to research the answer and provide the best service, they can satisfy the guest. Maintains composure and professionalism. Additional duties as assigned. Ability to work independently and with a group to ensure the job completion. Conference Coordinator must always have a radio on them and be available for when they are needed. Work alongside the BM at all times and are only permitted to be unaccompanied when directly instructed by the BM to take care of an event. Read the daily events sheet and be able to set up the expected room in a timely manner. Understand how to operate and read the daily reports. Each availability schedule should be submitted so the GAH Graduate Assistants or Building Manager know when to schedule, at least 1 week if not 2 weeks ahead of time. All students who do not clock in or out must be approved by direct supervisor (Building Manager) or have their shift covered ahead of time. If the shift is not covered ahead of time, they are expected to be at work. Downtime is to be used to maintain cleanliness and uphold standards. Perform other related duties upon assignment.


Required Minimum Qualifications: Current University of Alabama undergraduate or graduate student. Ability to work independently and with a group to ensure job completion.


Skills and Knowledge: Knowledge of Greek Assembly Hall policies, procedures, and operations of the facilities. Knowledge of the Student Employee handbook and job expectations. Knowledge of basic emergency procedures and the ability to response and spread the information.


Enrollment Requirements: Applicants must meet enrollment requirements to be eligible for on-campus student employment. Applicants must be enrolled in a UA degree program and meet minimum credit hour requirements during the academic year: Undergraduate Students must be registered for at least 6 credit hours during fall/spring semesters; Graduate Students must be registered for at least 4.5 credit hours during fall/spring semesters; International Students must be registered full-time (Undergraduate = 12 credit hours, Graduate = 9 credit hours) during fall/spring semesters. Enrollment requirements must be maintained for the duration of on-campus employment. Individual hiring departments and programs may also have additional eligibility requirements for employment.
