Job Description:

Student Services Coordination

Provides academic advising for students in graduate programs under the direction of the Concentration director. Monitors completion of academic program requirements (milestones) for students. Provides guidance to and assists Instructors and Directors with student issues as directed (accessibility, academic probation, C grades, honor code violations, student/instructor/facilitator issues). Coordination of comprehensive examinations by being responsible for student instruction, exam set-up, submission, revision, grading and completion documentation. Coordinates final terms requirements: degree applications, commencement activities, exit information, and alumni surveys. Collates student feedback, provides feedback to faculty members, creates proposals, and manages the implementation of any recommended revisions to the academic programs. Coordinates and manages the non-distance learning Master’s program admission process. Actively communicates with students enrolled in the on-campus academic programs using e-mail, telephone to deliver information and drive engagement. Develops student materials (policies, procedures, student handbook, and orientation materials) for faculty review.  Provides guidance for all concentration students from entry into the concentration through doctoral defense and graduation. Coordinates with the Concentration Director the annual graduate student recruitment events. Coordinates the concentrations graduate faculty status process with the UF Graduate School.  Coordinate and manage limited aspects of the online distance learning graduate certificate and master’s programs, including on-book and off-book distance learning courses/sections. Coordinates special projects that affect the concentration’s graduate students and their success in the program.

Course Management for academic program courses and select professional program courses.

Serves as the course coordinator & liaison for all academic & professional courses directed by Pharmacology & Therapeutics faculty.  Manages all Department-directed courses, including course scheduling, course development, course evaluations, exams creation and coordination, course grading, petition development and monitoring, as well as any ad hoc reports requested by the Department Chair and/or Concentration Director.  Serves as the liaison to the professional course directors and initiates frequent communication to ensure smooth course coordination.

Program Coordination

Coordinates all Master’s admission processes and procedures for the Department’s academic programs.  Coordinates academic program meetings to address program needs and coordinate completion of projects. Coordinates with campus committees and personnel to ensure compliance with university rules and regulations. Maintains documentation of program coursework and grades for accreditation and reporting: course grade book and finals. Provides consultation and support for the Department Distance Learning program and initiatives.

Fiscal Ordering

Responsible for managing procurement activities related to program events, including ordering necessary
supplies and materials in a timely and cost-effective manner. They utilize UFGO for PCard transactions,
travel arrangements, and reimbursements following university policies. Additionally, the
coordinator oversees invoice and requisition processing through the UF Marketplace to ensure smooth
coordination and financial compliance for all events.

Performs related duties as requested by the Chair, Concentration Director, or as deemed appropriate to the accomplishment of the responsibilities and functions of the academic programs.

Expected Salary:

$52,000-$59,000

Required Qualifications:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred:

The ideal candidate will have:

  • Experience working in an academic department, and with student services coordination & management.
  • Extensive experience with the UF Student Information System (SIS), Academic Activities Report (AAR),
  • Graduate Information System (GIMS), Excel, MS Word.
  • Proven ability to take responsibility with a high degree of professionalism and to consistently
    maintain confidentiality.
  • Proven ability to communicate effectively, both verbally and in writing.
  • Proven ability to establish and maintain effective working relationships.
  • Proven ability to plan, organize, and establish student services-related priorities.
  • Knowledge of the academic rules, regulations, and policies of the Graduate School, the Office of Registrar,
    the Office of Admissions, the Office of Distance Education, and the College of Medicine is preferred.
  • Knowledge of general office procedures.
  • Experience with operating office equipment.
Special Instructions to Applicants:

Monday-Friday from 8:00 am to 4:30 pm (with ½ hour lunch). (40 hours/week). Additional hours may be required during high-volume times, such as student recruitment, special events, and new student orientation etc.
