About This Role:

K- State Olathe (http://olathe.k-state.edu) is seeking qualified applicants for an Office Specialist. This position will act as the first point of contact for guests, visitors, and clients; greeting and answering questions upon their arrival on campus. The Office Specialist answers incoming calls, transferring or relaying messages to the appropriate parties. Additional responsibilities include providing administrative support to team members including data entry, assembling meeting materials, and other clerical duties as required.

Responsibilities include:

  • Provide administrative support for the following teams, but not limited to:  Professional Development, Academic Programs, Fiscal Services, Communications and Marketing, and the Community Building Committee. 
    • Assemble packets, meeting materials, and gift bags for professional development sessions and on-campus events.
    • Prepare name tags for event attendees.
    • Prepare labels for files and filing systems.
    • Assist with gathering items for presentations.
    • Research and prepare spreadsheets of names and emails of contacts for engagement (data entry)
    • Prepare reports with the information provided, demonstrating discretion and judgement as appropriate.
    • Update and evaluate data for documents and spreadsheets.
    • Organize and maintain files/records.
    • Sort and distribute documents.
    • Other clerical work as needed.
  • Greet guests, clients, and visitors upon arrival as the first point of contact.
    • Direct and/or escort guests and clients to proper meeting locations or individuals.
    • Answer and forward phone calls to appropriate individuals.
    • Take messages and relay information to proper individuals.
    • Answer questions, distribute brochures or cards to guests and clients.
    • Answer questions and assist internal team members.
    • Field customer complaints or issues and forward to the appropriate parties.
  • Develop working relationships with delivery, postal, and various service drivers.
    • Handle outgoing scheduled pick-up of mail/packages.
    • Sort and distribute internal and external mail/packages.

The Office Specialist position is full-time, non-exempt (hourly) and benefits eligible.

What You’ll Need to Succeed:

Minimum Qualifications:

  • Six months of relevant experience.

Preferred Qualifications:

  • High school education or GED
  • Effective customer service skills
  • Effective written and verbal communication skills
  • Proficient in Microsoft skills, email and related business and communication tools
  • Thorough attention to detail.
  • Ability to work independently and as part of a team.

Other Requirements:

  • Applicants must be currently authorized to work in the United States at the time of employment.
