Duties:
Primary Purpose / Focus :
As a member of the Community Infrastructure Unit’s Property Maintenance team, the Maintenance Scheduler plays a key role in coordinating and organising maintenance tasks to ensure the Homes Tasmania property portfolio is maintained to a high standard and that our responsibilities under the Residential Tenancy Act are met ensuring compliance with safety and regulatory standards. The role involves managing work orders, scheduling tradespeople and internal maintenance operatives, ensuring timely completion of repairs, and liaising between tenants, maintenance teams, and contractors.
This includes:
- Scheduling and prioritising maintenance works utilising scheduling software.
- Liaising with tenants, contractors, maintenance operatives and internal maintenance teams
- Monitoring and tracking maintenance requests including emergency works, ensuring timely completion of works.
- Raise work orders, coordinating contractors, maintenance operatives and suppliers to ensure effective resource and supply management.
- Use initiative to provide options and solutions to address maintenance scheduling issues making sure works are completed within timeframe.
- Identify any potential maintenance trade resource issues or risks providing mitigation strategies.
- Contribute to improved data quality through continual monitoring of Housing Management System updates from contractors and maintenance operatives reporting any issues to the Contract Management team.
- Monitor compliance and quality assurance and control reporting any issues to the Contract Management team.
- Monitor work health and safety protocols and ensure contractor compliance.
- Assist with maintenance program delivery providing advice and support to maintenance teams around availability and performance of trade resource.
- Deal with tenant enquiries and any issues relating to non-access or Right of Entry.
- Establish relationships with tenants adopting a proactive approach to on-going maintenance works and tenant satisfaction in line with the broader objectives of Homes Tasmania.
- Support the development of operational processes and systems as they relate to internal maintenance service delivery.
Skills and experience :
Selection criteria includes:
- Demonstrated experience in scheduling trade works coupled with associated administration, with the proven ability to investigate and provide solutions to complex scheduling issues including multi-trade works.
- Sound understanding and advanced proficiency in the use of Microsoft Office suite, scheduling software and computer systems as well as experience using property management software, maintenance management tools and systems, or scheduling systems to track work orders, schedule appointments, and manage records, exercising strong attention to detail to ensure that work orders are accurately recorded.
- Robust understanding of the complexities of coordinating various tradespeople, contractors, and tasks while managing tenant expectations and ensuring adherence to the Residential Tenancy Act timeframes, coupled with proven understanding of work health and safety protocol and working within prescribed policies and framework.
