
The Team
The Outpatient Operations team is part of the Outpatient Transformation Program, a statewide initiative focused on delivering efficient, patient-centred outpatient care. The team works across multiple hospitals and health sites to streamline administrative processes, improve referral and appointment management, and enhance communication with patients. By leveraging digital health solutions and modern workflows, the team ensures consistency, reduces missed appointments, and frees clinical staff to concentrate on direct patient care. Their work supports thousands of outpatient interactions daily, making them a critical link between patients, clinicians, and administrative systems.
The Role
In collaboration with the Manager Outpatient Appointments and Theatre Booking Clerks, oversee, coordinate, and supervise all aspects of the day-to-day delivery of administrative and clerical functions in designated outpatient and outreach clinics including, reception, billing and provision of training and support for Team Leaders and Outpatient Appointment scheduling staff.
Provide input, through operational analysis and recommendations, into administrative process improvements that support the management and integration of services into outpatient and remote outreach clinics.
Ensure the continuity and conformity of Outpatient Clinic standards and new administrative support services processes, by monitoring outcomes.
Develop, establish and maintain effective communication systems and collaborative relationships with stakeholders within THS to ensure the provision of timely flow of information and high-quality administrative services is provided by the administration team to the clinics.
You will need
- In conjunction with the Team Leaders supervise and coordinate the work of the administration team, including managing leave and work rotations and ensuring priority tasks are completed within required timeframe.
- Undertake a liaison role with senior medical and professional staff on, both routine and complex issues impacting on administrative matters to ensure operationally effective administrative support services are appropriate and negotiate and problem solve as required through interpretation of appropriate frameworks.
- Provide leadership in the promotion, development, integration and implementation of quality improvement strategies for the effective and efficient delivery of administrative and clerical support services.

Details of appointment
Permanent full time, day worker position, working 76 hours per fortnight, commencing as soon as possible.
*Notwithstanding hours to be negotiated with the successful applicant.

Salary
$81,915 to $94,263 per annum. Our Employer 12% superannuation contribution is on top of this amount.
- Salary range is in accordance with Public Sector Unions Wages Agreement 2022.
