Job description:

The Senior Executive Services Officer leads comprehensive administrative coordination and support processes for departmental and ministerial staff in relation to matters involving the department’s Ministers. The position coordinates the processes for Parliament associated with Question Time and Budget Estimates hearings. It identifies opportunities for, and contributes to, business process improvement. Working within the Secretariat & Legal Services Branch, the role also provides guidance and support to other team members to ensure the effective and efficient delivery of a customer-focussed service to internal and external stakeholders. The role provides day to day supervision and leadership to a small team of administrative officers dealing with correspondence, advice and information flow.

Duties

  • Under the leadership of the Senior Coordinator Secretariat:
    1. Day to day coordination of the processes and documents for Parliamentary sittings for relevant Ministers including setting and monitoring key dates, clearances, and quality for Question Time Briefs, Questions on Notice, etc.
    2. Coordinate the Budget Estimates process for DSG, including working with internal stakeholders to plan and communicate key dates, giving advice on template use, leading the compilation of briefings and liaison with Ministers’ offices.
  • Provide high-level instruction, advice and guidance to departmental and ministerial staff regarding issues involving Ministers, ministerial documents and other high-level government and parliamentary practices, policies and procedures.
  • Provide day-to-day supervision of, and support and guidance to, the Executive Support Officers deployed in Ministerial offices.
  • Provide back-fill administrative support within the team as required.

Contribute to:

  • Providing timely, efficient and effective flow of ministerial information and documentation as necessary, and quality assuring ministerial correspondence and other relevant documentation such as Cabinet submissions.
  • Giving guidance and support for other team members of the Secretariat as required, sometimes in the absence of the Senior Coordinator Secretariat, regarding complex ministerial issues.
  • Undertake other Secretariat-related functions as required by the Senior Coordinator Secretariat, including the provision of administrative support to the Office of the Secretary, or elsewhere within the Business Services Division as required.
