Job description:

The Senior Executive Assistant plays a pivotal role in providing high-level executive, corporate, coordination and administrative support.

Duties

The following are some of the key focus areas for the position.  These may change regularly or periodically, and duties should be reviewed and updated periodically to reflect changes or evolution in the role and to align with priorities.

Work is performed under general direction to achieve the required outcomes.  Within the scope of the role, flexibility, innovation and initiative are expected in providing alternative solutions to operational issues and challenges.

  • Administrative Support:  Manage executives' schedules, including meetings, appointments, and travel arrangements.  Prepare and edit correspondence, reports, and presentations.
  • Communication:  Serve as a primary point of contact for internal and external stakeholders.  Handle phone calls, emails, and other communications promptly and professionally.  Prepare and/or draft correspondence for internal and external audiences and distribution.
  • Project Management:  Assist in the planning and execution of various projects, ensuring deadlines are met and objectives are achieved.
  • Workflow Management:  Assist, coordinate, delegate, monitor and document activities and tasks across work areas or divisions.
  • Meeting Coordination:  Plan and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Event Planning:  Organize and coordinate company events, functions, and social gatherings.
  • Document Management:  Maintain and organise important documents, files, and records, both electronic and physical.
  • Expense Management:  Monitor and reconcile executive expense reports and budgets.
  • Confidentiality:  Handle sensitive information with the utmost discretion and confidentiality.
  • Corporate Reporting:  Coordinate, or assist coordination of, reporting and other documents such as the annual report, corporate and divisional plans, and Parliamentary responses.
  • Technology:  Use technology as an enabler of the above.  High level abilities across the Microsoft suite including MS Teams apps and ability to enable virtual working and workplaces.
