Major Functions
- Dispense superior skilled and confidential Executive Officer support to the Chief Executive Officer, Senior Leadership Group members, Board of Directors and committees, including managing matters of a commercially sensitive nature. Coordinating meetings, travel itineraries & functions and administer and oversee Ministerial correspondence.
- Preparation of confidential documents, compiling agendas, minutes, and board papers; ensuring materials are accurate and available while monitoring action items & work assignments; providing advice on deadlines, systems and policies as required.
- Manage the Chief Executive Officer’s diary and members of the Senior Leadership Group, liaising with members of the Public Trustee’s executive team, external stakeholders and other Government entities; acting as the first point of contact between the public, Heads of Government Agencies, Ministers offices and the Chief Executive Officer.
- Coordinate and support the Complaints Handling Procedure through advising, developing and recommending alternative approaches to achieve objectives; also includes tracking of activities to ensure key timeframes are following compliance standards.
- Collaborate with the WHS Committee and managers to coordinate and manage facilities operations across all four office locations to ensure safe and compliant working environments in accordance with the Work Health and Safety Act 2012. This includes organising and scheduling regular maintenance, collating maintenance audits, and implementing corrective actions as needed.
- Serve as the first point of contact for property managers in the administration and renewal of lease contracts for four tenancies statewide. Facilitate communication between stakeholders, ensure timely processing of lease agreements, and provide support in addressing any lease-related inquiries or issues. Monitor lease terms and conditions to ensure compliance and timely renewals.
- Liaise, assist and consult with a diverse range of stakeholders including Government agencies, the Stakeholder Reference Group and the public to obtain and provide information, ensure timely responses and maintain workflows.
- Maintain a comprehensive Contractor Management Register to ensure effective tracking, evaluation, and compliance of all contractors. This includes collating licences and insurances of contractors and ensuring adherence to safety and regulatory standards.
- Provide high-level support to the Marketing team as needed, ensuring alignment with strategic goals and timely execution of initiatives. Produce high-quality documents, including public-facing materials for the Public Trustees’ website, ensuring clarity, accuracy, and adherence to branding guidelines.
- Perform other duties consistent with the assigned classification and in accordance with the skills, competence and training of the occupant.
